SummaryWe are seeking a Trust Administrator I to join the team within Premier Trust, a member of Osaic. The position of Trust Administrator I is responsible for ensuring the basic administration of trust accounts. This includes maintaining all account records and producing reports as needed. Also, this position will represent the company by maintaining good customer relations.
Responsibilities- Open new accounts by obtaining the latest information and documentation from clients; review and analyze documentation; track and follow up on missing items; complete new account forms.
- Prepare forms for client disbursements, deposit receipts, automatic payment set‑up requests, wire transactions, ACH transfers, and trade requests.
- Provide consultation with trust officer regarding proper vesting, handling, and following of assets.
- Contact or correspond with persons, agencies, and organizations that have an interest in any aspect of assigned accounts.
- Review and process various reports.
- Perform duties including scheduling appointments and/or tasks as necessary; assemble documents, reports, or other information as required; answer and direct calls; take and relay messages; sort, screen, and distribute mail without supervision.
- Organize and maintain customer account files.
- Close accounts in accordance with company procedures.
- Provide effective customer service and respond to inquiries from internal and external customers. Ensure answers or information is received by the inquiring party; investigate and resolve problems within given knowledge level.
- Gather and calculate data and prepare a variety of monthly, quarterly, and annual reports for management ensuring reports are accurate, complete, and prepared on schedule.
- Compose, prepare, and proofread for supervisor’s signature correspondence such as internal memorandums, letters, and emails to customers.
- Operate personal computer to input and process data.
- Maintain strict confidentiality of all records and data received and produced.
- Create and maintain database and spreadsheet files.
- Comply with Bank Secrecy Act (“BSA”), OFAC Anti‑Money Laundering (“AML”), and USA PATRIOT ACT policies, procedures, by properly verifying the identity of any person/business an account, maintaining records of the information used to verify each customer and consulting lists of known terrorists before opening an account.
- Report any customer suspected of suspicious activity immediately to the BSA/Compliance Officer.
- Reconcile credit card statements monthly; submit receipts; reimburse Premier Trust from client account when applicable.
- All other duties as assigned.
- High School Diploma or equivalent (GED) required and or the equivalent combination of education and experience. Work related experience should consist of administrative duties in the area assigned (such as Branch Banking, Human Resources, IT, Loan Processing, Marketing, Administration, CRA/Community Development, Trust etc.) with a financial institution background. Educational experience, through in‑house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.
Requirements
- 1+ years basic knowledge of related state trust and federal trust and applicable financial institution compliance regulations, and other Trust Administration/operational policies required.
- Basic administrative assistant skills typically resulting from a combination of education in computer operation and several years of experience in an administrative position.
- Ability to read, analyze and interpret general business periodicals, professional journals, and technical procedures.
