Dental Practice / Business Coordinator

Position Snapshot

As the Dental Practice / Business Coordinator you oversee all administrative, operational, and marketing functions for a busy pediatric dental office. Your mission is to keep the business running smoothly, delight families at every visit, and drive healthy practice growth. This is a full-time, exempt role reporting to the Practice Owner or Regional Manager and based on-site at the practice. Occasional evening or weekend hours may be required for special events.

Key Responsibilities

Patient Experience & Office Management – 30 % of time

  • Direct daily scheduling, check-in and check-out, lobby flow, and parent communications.
  • Maintain a child-friendly, safe, and welcoming environment; address concerns quickly.
  • Success metrics: ≥ 90 % patient-satisfaction score and 20 % reduction in average wait time.

Financial Coordination – 20 % of time

  • Manage insurance verification, claims submission, payment collection, and month-end reporting.
  • Reconcile deposits and monitor accounts receivable.
  • Success metrics:
    All claims processed within 30 days and accounts > 90 days past due kept below 5 %.

Team Leadership & HR Support – 15 % of time

  • Supervise front-desk and administrative colleagues, coordinate onboarding, track licensure / CE, and coach on service standards.
  • Handle scheduling, PTO, and routine performance feedback.
  • Success metrics:
    Staff retention above 90 % and onboarding completed on schedule.

Compliance & Safety Management – 10 % of time

  • Ensure continuous compliance with OSHA, HIPAA, and state dental regulations.
  • Maintain all documentation and prepare the practice for audits or inspections.
  • Success metrics:
    Zero compliance violations and successful audit outcomes.

Marketing & Community Engagement – 15 % of time

  • Plan, execute, and track local marketing campaigns, social-media content, school visits, community events, and referral-partner outreach.
  • Measure return on investment for each initiative.
  • Success metrics: 10 % annual increase in new-patient starts and timely, well-executed events.

Practice Growth & Reporting – 10 % of time

  • Compile weekly and monthly KPI dashboards, analyze trends, and recommend process improvements or growth initiatives to leadership.
  • Success metrics:
    Accurate, on-time reports that lead to measurable operational gains.

Required Qualifications

  • Bachelor’s degree in Business Administration, Healthcare Management, Marketing, or a related field (preferred).
  • Minimum three years of dental office management experience—ideally in a pediatric environment.
  • Proficiency with practice-management software such as Dentrix or Open Dental, plus Microsoft 365 / Google Workspace.
  • Strong knowledge of dental insurance billing and reimbursement processes.
  • Experience managing social-media channels and community outreach.
  • Outstanding leadership, communication, and problem-solving skills.

Preferred Skills

  • Certified Dental Office Manager (CDOM) or similar credential.
  • Prior marketing experience in a healthcare or dental setting.

Work Environment & Physical Demands
