Position: ENTRY LEVEL HUMAN RESOURCES ASSISTANT

Job Summary

The Entry Level Human Resources Assistant provides high-level administrative support to the Director of Human Resources and the Executive Team. The HRA assists with the implementation of services, policies, and programs, contributing to the achievement of Human Resources practices and objectives that foster an employee-oriented, high-performance culture emphasizing empowerment, quality, training, productivity, standards, goal attainment, and the recruitment and ongoing development of a superior workforce.

Responsibilities
  • Reports to the Director of Human Resources to provide high-level logistical and administrative support.
  • Administer, explain, and ensure compliance with HR policies, programs, standards, postings, and procedures (e.g., COBRA, OSHA, EEO-1 Reporting, HIPAA guidelines, and the 403(b) retirement savings plan).
  • Assist with the 403(b) retirement savings plan—reporting, audits, enrollment, and tracking.
  • Manage and maintain Credentialing & Personnel files.
  • Coordinate site visits for physicians, candidates, and other applicants, including logistical arrangements.
  • Support the applicant tracking system and new hire orientation, including scheduling drug tests, background checks, credential verification, offer letters, office set‑up, and uniform ordering as part of the Access Health Onboarding process.
  • Ensure all required employee documentation is received in a timely manner and accurately reflected in all appropriate systems.
  • Assist with Access Health’s Performance Management process, verifying and tracking evaluations with supervisors and managers.
  • Contribute to key HR projects (e.g., wellness initiatives, events, trainings, surveys).
  • Prepare reports necessary to carry out the functions of the Human Resources Department.
  • Assist with other duties as assigned.
Education & Credentials

Required:

High School Diploma or equivalent.
Preferred:
Coursework in Human Resources and/or one year’s experience in Human Resources.

Skills & Experience
  • Confidentiality is a MUST!
  • Minimum of 1 year of Human Resources experience in a variety of HR functions is strongly preferred.
  • Ability to handle heavy interaction with employees in person, via email, and by telephone.
  • Demonstrated experience in new employee orientation and the I‑9 process.
  • Intermediate computer skills and proficiency in MS Word, Excel, PowerPoint, and Outlook required; intermediate skills and experience with Paycom applicant tracking systems strongly preferred.
  • Ability to organize work and follow instructions.
  • Ability to coordinate fast‑paced, heavy correspondence including confidential documents.
  • Exceptional communication skills—able to talk and write to a wide variety of individuals to secure necessary information.
  • High ethical standards.
  • Well‑organized, detail‑oriented, and self‑directed.
Physical Demands and Work Environment

Physical demands include occasionally standing, walking, sitting, using hands, reaching, climbing stairs, balancing, stooping, kneeling, crouching, crawling, talking, hearing, tasting, and smelling. The employee may occasionally lift or move up to 30 pounds. Vision requirements include close, distance, color, peripheral, depth perception, and the ability to adjust focus. Work environment is moderate in noise level and the employee is not exposed to weather conditions.

Hours

Employees will be assigned to a regular work schedule, which may include hours before 8:00am, after 5:00pm, and Saturdays as determined by department needs and requirements.
