We are hiring an Office Manager / Bookkeeper for a high‑end residential custom home builder in Richmond, Virginia.
Position Responsibilities- Manage day‑to‑day accounting: accounts payable, accounts receivable, bank reconciliations, and general ledger entries
- Prepare monthly financial reports for company leadership
- Oversee job costing, expense coding, and accurate tracking of project‑related costs
- Support budgeting, cash flow forecasting, and financial planning
- Manage asset purchases and dispositions
- Manage loan payments and balances
- Coordinate with external CPA or accountant for taxes, audits, and year‑end closing
- Ensure timely payment of vendors and invoices on a weekly basis via ACH, Bill Pay, or printed checks
- Create detailed invoices with backup documentation in QBO
- Manage accounts receivable and record customer payments in QBO
- Monitor and analyze financial performance; flag variances from budget forecast
- Process and file business personal property tax returns and business licenses
- Serve as the main point of contact for office operations and administrative tasks
- Answer calls and emails professionally and warmly, especially with high‑end residential clients
- Manage office supplies, vendor relationships, and subcontractor communications
- Maintain digital and physical filing systems for financial and project documentation
- Schedule and coordinate meetings, project reviews, and team check‑ins
- Assist with HR‑related functions such as onboarding, time tracking, and benefits coordination
- 3+ years of bookkeeping or accounting experience (construction industry experience a strong plus)
- Proficiency in Quick Books (QBO)
- Excellent written and verbal communication skills
- High attention to detail, accuracy, and confidentiality
- Warm, genuine, and client‑friendly demeanor
- Ability to prioritize, multi‑task, and stay organized in a fast‑paced environment
- Experience supporting high‑end clients or working in a custom home building environment preferred
- Familiarity with construction billing cycles and AIA documents preferred
- Positive, collaborative, and proactive mindset
- Ability to work independently with minimal supervision
