The Role:Project Coordinator
The Project Coordinator at The Internet Subway provides essential administrative and logistical support to the operations team, assisting in the coordination of Fiber to the Home (FTTH) deployment projects across multifamily communities on the east coast and beyond. Reporting to the Project Manager, the Project Coordinator ensures that project information is accurate, communication flows smoothly, and tasks stay on schedule.
This role is ideal for a detail‑oriented, tech‑savvy, and highly organized professional looking to grow within the FTTH and telecommunications industry.
Key Responsibilities Project Tracking and Documentation- Update and maintain project progress within Smart Sheets and The Internet Subway Portal.
- Track vendor material requests, warehouse orders, testing results, and as‑built submissions.
- Ensure all project files, reports, and databases are complete, accurate, and current.
- Support preparation of project plans, schedules, and deliverables.
- Assist in organizing and scheduling vendor progress meetings.
- Act as a communication bridge between project teams, construction vendors, and property management contacts.
- Document meeting notes, action items, and follow‑up communications.
- Help respond to customer or property management inquiries related to vendor activity.
- Assist with site visit preparation; occasionally participate in field visits for documentation or coordination.
- Help monitor quality control by collecting data, updating tracking sheets, and escalating issues to the Project Manager.
- Support the identification and tracking of project risks and issues.
- Assist in escalating field or design challenges to the correct internal teams.
- Help coordinate resource availability with external partners to maintain service‑level standards.
- Contribute to team training documentation and process improvements.
- Assist with administrative tasks supporting budgeting, planning, and vendor coordination.
- Promote a positive and consistent customer experience throughout the project lifecycle.
- Perform additional project‑related responsibilities as assigned.
- 1–2 years of experience in telecommunications, construction coordination, project administration, or a related field.
- Basic understanding of telecom or fiber network technology preferred but not required.
- Experience in installation, repair, or network services (copper or fiber) is a plus.
- Strong organizational and time management skills; able to manage multiple tasks simultaneously.
- Proficient with digital tools; comfortable learning new software (Smart Sheets experience is a bonus).
- Strong communication skills and the ability to work collaboratively across teams.
- Analytical mindset with good problem‑solving abilities.
- Customer‑focused and committed to delivering quality service.
- EOS experience preferred but not required.
