Executive Assistant – SVP of Global Research Operations

Location:

Richmond, VA (Full‑time). Supports senior leadership in driving research operations across CoStar Group.

Job Overview

CoStar Group is a leading provider of real‑estate information, analytics, and marketplaces. We are seeking a resourceful, self‑starter Executive Assistant to support our Senior Vice President of Global Research Operations in a fast‑paced public‑company environment.

Responsibilities
  • Schedule all meetings and travel arrangements, manage the SVP’s calendar, and coordinate appointments by balancing priorities and negotiating with internal and external stakeholders.
  • Provide the SVP with background information and supporting documents for scheduled appointments, meetings, speaking engagements, conferences, and interviews.
  • Handle routine administrative tasks including expense reimbursement, purchase order submission, distribution group management, and record‑keeping functions.
  • Compose, edit, and proofread email correspondence, reports, and presentations on behalf of the SVP.
  • Manage internal meetings for the SVP, ensuring flawless logistics and solving issues quickly and gracefully.
  • Develop and demonstrate a solid working knowledge of the business structure, tools, policies, procedures, and key personnel.
  • Exercise sound judgment and decision‑making to develop solutions to problems and situations.
  • Maintain clarity, organization, and communication while handling multiple assignments and adapting to changing priorities.
  • Prepare and distribute relevant materials to team members in advance of meetings.
  • Build and strengthen relationships with the SVP’s direct reports and key colleagues across the company to support research operations and company‑wide goals.
  • Provide administrative support to department initiatives such as the Research Operations Monthly Employee Recognition program.
  • Assist with select executive/VIP events at the Richmond campus.
  • Provide additional support to the CEO during visits to the Richmond campus.
Basic Qualifications
  • Bachelor’s degree from an accredited, not‑for‑profit university or college.
  • 10+ years of experience with at least 5 years supporting C‑level executives in a public‑company setting.
  • Advanced proficiency in Microsoft Office Suite and ability to learn organizational databases and content‑management systems.
  • Meticulous grammar, editing, writing, presentation, and communication skills.
  • High degree of integrity, confidentiality, and discretion when handling highly sensitive information.
Preferred Qualifications and Skills
  • Demonstrated ability to work with executives and coordinate a high volume of diverse assignments while anticipating and handling competing priorities.
  • Experience in a dynamic, fast‑paced environment with proven organizational tactics to meet goals.
  • Excellent interpersonal and influence skills; ability to work effectively as part of a team.
  • Strong sense of ownership and pride in providing professional customer service internally and externally.
  • Positive attitude, punctuality, willingness to learn, and minimal supervision required.
  • Ability to convey essential information clearly and concisely, both in writing and verbally.
  • Proficient use of technology, particularly Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
