Provides comprehensive administrative support to three executives, exercising discretion with priority decisions, preparing highly sensitive executive materials, and acting as independent project manager for projects as needed. Salary range: $75,000–$85,000 annually. Position is onsite at the Owens & Minor corporate office in Henrico, Virginia.
Core Responsibilities- Provide all administrative support functions for leadership, including communications coverage, high‑volume travel coordination, calendar and scheduling, expense and invoice processing, and payment record maintenance.
- Manage and maintain multiple calendars and coordinate complex meetings.
- Independent creation, editing, and preparation of presentation materials for top‑tier clients, executives and similar audiences.
- Prepare and review correspondence, notices, memoranda, and reports independently or at leadership’s direction.
- Act as a confidential assistant, maintaining confidentiality of organizational and teammate information.
- Serve as primary Project Manager for confidential projects, ensuring seamless coordination and successful outcomes.
- Develop, coordinate, organize and implement tracking systems to monitor leadership matters, projects, assignments and deadlines, including databases, summaries, tables and charts.
- Manage executive travel and support of executive meetings and events.
- 5+ years of experience supporting executive‑level management.
- Excellent verbal, written and organizational skills.
- Independent thinker who anticipates and initiates action for future meetings.
- Great attention to detail with the ability to handle confidential and sensitive matters.
- Ability to function in a fast‑paced and demanding environment.
- Advanced knowledge of Microsoft Office Suite—specifically Word, Excel, PowerPoint and Teams.
- Ability to work independently and handle multiple projects while meeting deadlines and time constraints.
