We're seeking a proactive Office Administrator who thrives in a fast-paced environment and enjoys building strong client relationships while overseeing day-to-day facility operations, vendor management, maintenance coordination, and workplace services.
Key Responsibilities- Manage daily facility operations and ensure a safe, efficient, and well-maintained workplace environment
- Serve as the primary point of contact for client inquiries, service requests, and facility-related concerns
- Coordinate maintenance, repairs, and service activities with vendors, contractors, landlords, and engineering teams
- Create, track, and manage work orders while ensuring timely completion and follow-up
- Monitor vendor performance, review proposals and bids, and support contract compliance
- Review invoices, verify pricing, and facilitate timely payment processing
- Conduct site inspections and support preventative maintenance programs
- Maintain clear communication with clients, vendors, landlords, and internal stakeholders regarding project status and operational updates
- Assist with building-specific safety protocols, maintenance procedures, and special events
- Prepare reports, maintain documentation, and ensure accurate recordkeeping of facility activities
- High school diploma or GED required;
Associate's or Bachelor's degree preferred - 5+ years of experience in facilities management, property management, tenant services, office administration, or a related environment
- Strong customer service and relationship management skills
- Experience coordinating vendors, contractors, maintenance activities, and workplace services
- Proficiency with Microsoft Office Suite, including Excel, Word, and Power Point
- Excellent communication, organization, and problem-solving abilities
- Ability to manage multiple priorities while maintaining a high level of service and professionalism
