The Front Desk Coordinator ensures smooth daily operations by managing patient communication, scheduling, financial coordination, and administrative support to maintain an efficient and welcoming dental practice.

Key Responsibilities
  • Patient Check‑In/Out – Greet patients, verify information, update records, and manage end‑of‑visit procedures.
  • Appointment Scheduling – Manage calendars, confirm appointments, handle cancellations, and optimize provider schedules.
  • Insurance Verification – Confirm eligibility, benefits, frequencies, and pre‑authorizations.
  • Financial Coordination – Present treatment plans, collect payments, explain balances, and process claims.
  • Phone & Communication Management – Answer calls, respond to messages, and maintain professional communication.
  • Record Management – Maintain accurate patient records and ensure HIPAA compliance.
  • Office Support – Assist with daily administrative tasks, reports, and office organization.
Required

Skills & Qualifications
  • Customer Service Skills – Friendly, professional, patient‑focused.
  • Dental Software Knowledge – Experience with Dentrix, Eaglesoft, Open Dental, or similar.
  • Insurance Understanding – PPO, HMO, Medicaid, pre‑auths, frequencies, limitations.
  • Communication Skills – Clear verbal and written communication.
  • Multitasking – Ability to manage phones, patients, and admin tasks simultaneously.
  • HIPAA Knowledge – Protect patient privacy and follow compliance rules.
  • Basic Accounting – Payment posting, balancing, and financial accuracy.
Preferred Experience
  • 1–2 years in a dental office or medical front desk.
  • Familiarity with treatment planning, insurance breakdowns, and claim follow‑up.
  • Bilingual skills – Fluent in English and Spanish.
