The Front Desk Coordinator ensures smooth daily operations by managing patient communication, scheduling, financial coordination, and administrative support to maintain an efficient and welcoming dental practice.
Key Responsibilities- Patient Check‑In/Out – Greet patients, verify information, update records, and manage end‑of‑visit procedures.
- Appointment Scheduling – Manage calendars, confirm appointments, handle cancellations, and optimize provider schedules.
- Insurance Verification – Confirm eligibility, benefits, frequencies, and pre‑authorizations.
- Financial Coordination – Present treatment plans, collect payments, explain balances, and process claims.
- Phone & Communication Management – Answer calls, respond to messages, and maintain professional communication.
- Record Management – Maintain accurate patient records and ensure HIPAA compliance.
- Office Support – Assist with daily administrative tasks, reports, and office organization.
Skills & Qualifications
- Customer Service Skills – Friendly, professional, patient‑focused.
- Dental Software Knowledge – Experience with Dentrix, Eaglesoft, Open Dental, or similar.
- Insurance Understanding – PPO, HMO, Medicaid, pre‑auths, frequencies, limitations.
- Communication Skills – Clear verbal and written communication.
- Multitasking – Ability to manage phones, patients, and admin tasks simultaneously.
- HIPAA Knowledge – Protect patient privacy and follow compliance rules.
- Basic Accounting – Payment posting, balancing, and financial accuracy.
- 1–2 years in a dental office or medical front desk.
- Familiarity with treatment planning, insurance breakdowns, and claim follow‑up.
- Bilingual skills – Fluent in English and Spanish.
- Warm, welcoming, and patient‑focused.
- Detail‑oriented and organized.
- Calm under pressure.
- Team‑oriented.
- Problem‑solver with a positive attitude.
