Prospect Blue is partnering with a Richmond-based client ~ an industry leader in transportation and logistics ~ to hire a Part-Time Executive Assistant
.
This role offers the opportunity to work closely with senior leadership, providing high-level administrative support and helping drive efficient day-to-day operations. The ideal candidate is highly organized, exercises strong judgment and discretion, and thrives in a fast-paced environment with competing priorities.
The Executive Assistant serves as a trusted partner to leadership, managing communications, coordinating complex schedules, and supporting key executive initiatives.
Key Responsibilities Administrative & Executive Support- Manage complex calendars, including scheduling meetings and resolving conflicts
- Prepare, proofread, and edit correspondence, presentations, reports, and other documents
- Handle confidential and sensitive information with professionalism and discretion
- Serve as the primary point of contact between executives, employees, clients, and external partners
- Screen, prioritize, and route emails, calls, and messages on behalf of executives
- Draft communications and respond to inquiries as delegated
- Coordinate internal and external meetings, including agenda creation and follow-up action tracking
- Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries
- Process travel expenses, reimbursements, and corporate credit card reports
- Assist with special projects, research, and data collection
- Track deadlines, deliverables, and key performance indicators for executive initiatives
- Support event planning, including board meetings, leadership retreats, and company functions
- Excellent verbal and written communication skills
- Strong organizational and time management abilities
- Proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)
- Ability to multitask and adapt to shifting priorities
- High emotional intelligence and professional demeanor
- Strong problem-solving and critical thinking skills
- Proactive mindset with the ability to anticipate needs
Experience in a corporate, nonprofit, or fast-paced environment preferred
