Position:
Administrative Coordinator of Instructional Programs (Spec III, Role Code 29144‑SW). Exempt, Pay Band 04.

Full‑time.

Work Schedule:

Monday – Friday, 8 a.m. to 5 p.m. Telework options are subject to change based on business needs. Sensitive position.

Job Responsibilities
  • Support the Division of Arts, Sciences, & Business.
  • Coordinate dual enrollment and adjunct course observations and facility compliance.
  • Assist the Dean with scheduling and tracking full‑time and adjunct evaluations.
  • Track and maintain faculty qualifications files, ensuring completeness and accuracy.
  • Coordinate assessment activities, ensuring deadlines are met and data is reported accurately.
  • Ensure compliance related to purchasing, event planning, and other division deadlines.
  • Assist the Dean on strategic scheduling initiatives, faculty overloads, course cancellations, credit for prior learning, and other division efforts.
  • Schedule and coordinate hiring initiatives and processes for the division.
  • Coordinate year‑long faculty orientation for new adjunct and full‑time faculty.
  • Coordinate planned events such as completion ceremonies, awards ceremonies, and other celebratory events.
  • Represent programs at outreach events and assist with public relations and marketing efforts.
  • Coordinate with Enrollment Services, Advising Services, and the Dean on specific tasks assigned.
  • Collect, maintain, and report data accurately and timely.
  • Attend and provide support for on‑ and off‑campus activities and college events.
  • Provide support to the Dean on special projects and other duties as assigned.
Qualifications
  • Advanced knowledge, training, and/or experience in a related field.
  • Experience working in an office environment.
  • Proficient in integrated software systems (e.g., People Soft) with intermediate to advanced computer skills, including Microsoft Office (Word, Excel, PowerPoint).
  • Skilled in generating reports, editing spreadsheets, and managing data efficiently.
  • Strong organizational, interpersonal, and professional communication skills, both oral and written.
  • Demonstrated ability to collaborate effectively with diverse faculty, staff, administration, and community members.
  • Self‑motivated, diligent, and proactive contributor to the college experience.
  • High‑quality customer service and professional interaction with individuals from diverse backgrounds.
  • Desire and capacity to learn and grow as professional needs arise.
  • Experience in creating and maintaining schedules.
  • Discretion and sound judgment in decision‑making.
  • Personal integrity, honesty, and confidentiality.
  • Ability to manage multiple tasks and meet deadlines in a highly visible environment.
  • Effective independent and collaborative teamwork abilities.
  • Understanding of the mission, goals, and objectives of a community college.
Additional Considerations
  • Knowledge and experience with People Soft.
  • Experience in higher education.
  • Extensive knowledge and experience with Microsoft Office applications.
  • Experience working in a community college setting.
  • Demonstrated success working with faculty.

Required travel:
Some overnight travel may be required.
