We are seeking a professional, polished, and dependable Front Desk Administrator to serve as the first point of contact for a law firm in Richmond. As the face and voice of the practice, you will play a crucial role in shaping client impressions, directing calls, managing daily office flow, and providing vital administrative support to the legal team. The ideal candidate possesses exceptional communication skills, a high level of discretion, and the ability to maintain a calm, welcoming demeanor in a fast-paced environment.
Key Responsibilities- Client Relations:
Greet clients and visitors warmly upon arrival; announce guests and escort them to conference rooms. - Communication Management:
Answer, screen, and route incoming phone calls on a multi-line system; take accurate messages and handle general inquiries. - Mail & Deliveries:
Sort and distribute daily mail, couriers, and incoming faxes; manage outgoing mail and coordinate legal process servers or overnight shipments. - Scheduling & Coordination:
Maintain the firm's master calendar, schedule client consultations, and coordinate the booking of conference rooms. - Administrative Support:
Assist paralegals and attorneys with light administrative tasks, including data entry, scanning, photocopying, and preparing basic legal correspondence. - Office Upkeep:
Ensure the reception area, lobby, and conference rooms are tidy, professional, and fully stocked with necessary supplies.
- Experience:
3+ years of experience in a professional setting within a front desk, receptionist or administrative assistant position. - Communication:
Outstanding verbal and written communication skills with professional telephone etiquette. - Technical Proficiency: strong computer skills, including proficiency in Microsoft Office Suite (Word, Outlook, Excel).
- Discretion:
Proven ability to handle sensitive, confidential client information with the utmost integrity. - Organization:
Excellent multitasking, time-management, and organizational skills, with sharp attention to detail.
