Responsibilities

Unit Coordinator – Richmond, VA

Horizon Health Corporation is seeking a Unit Coordinator for our brand new Crisis Receiving Center with 24 chairs in Richmond, VA. The Unit Coordinator provides essential administrative and clerical support of clinical services, ensuring the smooth and efficient functioning of the unit. Oversees the individual registration process, insurance verification, answering phones, general office projects, tracking of unit census and coordination with clinical staff to ensure efficient functioning of the unit.

They are the resident expert regarding the involuntary process and oversee the patient flow of the unit.

Responsibilities:

  • Administrative & Operational Support
    • Serves as the primary administrative resource for the Crisis Services Unit, including walk-in, mobile crisis, and crisis residential components. Answers the telephone for admission and discharge purposes (i.e. police, ED’s and other psychiatric hospitals).
    • Arranges pick-up orders with police. Documents all efforts made to law enforcement regarding pick-up orders.
    • Maintains the patient board: entering new arrivals, assigns providers, nurses, crisis workers and prioritizes arrivals. Monitors electronic individual tracking system to ensure that all records reflect real time admission status.
    • Oversees that all Court Ordered Evaluations (COE)/Persistently and Acutely Disabled (PAD) detention orders are served, and proof is sent to the County Psychiatric Hospital legal department within prescribed deadlines (if applicable) Manage calendars, schedule meetings, coordinate staffing schedules, and arrange logistics for trainings or team events.
    • Maintain accurate documentation, forms, and records in accordance with organizational policies and applicable behavioral health regulations.
    • Support onboarding activities for new crisis team staff, including training schedules, documentation coordination, and system access requests.
  • Communication & Coordination
    • Coordinates and oversees bed placement of patient with other facilities and within the Electronic Health Record (EHR)
      Facilitate clear communication between crisis staff, leadership, partner agencies, and community stakeholders.
    • Screen, route, and prioritize incoming calls, emails, and inquiries to appropriate clinical or supervisory personnel.
    • Assist in preparing internal and external communications, including memos, reports, agendas, and meeting minutes.
    • Ensure staff compliance with standards of care, customer service expectations, and confidentiality requirements.
    • Maintain 24/7 availability to support staff reporting or responding to urgent and crisis situations
  • Data, Reporting & Compliance
    • Coordinates the administrative process for handling involuntary paperwork. Checks documents for completeness, notarizes involuntary paperwork logs the involuntary forms and hands off the paperwork to prescribing provider for review.
    • Participates in ongoing training including in-services, training and other activities to maintain and improve competency. Demonstrates competency by demonstrating skills through observation and post-testing of direct supervisor.
    • Assists medical staff by obtaining and relaying individual information from hospital ED staff, clinical staff, family members, and/or other Providers. Monitors medical and clinical timelines of involuntary process
    • Tracks and compiles data related to crisis encounters, staffing levels, quality metrics, and operational performance.
    • Assists with preparing monthly, quarterly, and annual reports for program leadership or regulatory bodies.
    • Ensures adherence to confidentiality standards, including HIPAA and organizational privacy policies.
    • Monitors and maintains department logs, audits, and compliance documentation as required.
  • Financial & Resource Management
    • Registers and checks enrollment eligibility, including Third Party Liability and private insurance
    • Process invoices, purchase orders, and departmental expenses following organizational procedures.
    • Maintains inventory of office supplies, crisis forms, technology resources, and program materials.
    • Assists with budget tracking, procurement, and vendor coordination.
