Position Summary:To provide administrative, logistical, operational and technical tasks related to educational support for the Department of Family Medicine and Population Health undergraduate medical education(UME) programs. These the duties will include, but shall not belimited to, coordinating, and scheduling all internships andplacements in Family Medicine for UME; providing assistance to UMEleadership; providing organizational and administrative support forUME student programming and activities, and other duties as assigned.

- Update and maintain housing and rotation site information in electronic system
- Develop basic housing criteria and communicate housing policies to students
- Maintain and develop new housing sites and contracts
- Resolve housing problems such as moving student to alternatehousing
- Negotiate discounted housing rates and generate housingagreements
- In coordination with the Director, M-3 Clerkship – assign studentplacements
- Report assignments to students and preceptors including yearlyand monthly email reminders
- Prepare and distribute yearly packets to preceptors
- Work with students, team and Dean’s office to make sure that students have completed all site-specific requirements prior to arriving at that site
- Send weekly reminders to students and help answer questionsstudents have each month about clerkship program
- Edit, print and distribute preceptor and student M3 guides
- Update curriculum electronically as directed by Clerkship Director
- Prepare student handouts and set up facility / coordinatetesting for monthly student orientation and debriefing
- Attend monthly clerkship coordinators’ meeting
- Systematically distribute and collect student grades an devaluation information monthly
- Prepare grade/evaluation packets accurately
- Coordinate in a timely manner monetary award for students yearly, including for 12
CRP and fmSTAT summer scholarships
- Track program requirements for 4th year students enrolled in the1 2
CRP program and maintain a binder with all the student requirements yearly - Maintain the I2
CRP graduate database - Report and communicate 3rd year I2
CRP placements in Peds, Surgery and Ambulatory with preceptors, students and clerkshipcoordinators
- Office Management backup support to executive assistant –including but not limited to facilities, scheduling of rooms
- Day to day running and running of reports
- Event management support
- Maintain budget for housing and M3 student exams
- Reconciliations of P-Card
- Manage ordering of department office supplies and orders
- Visit clinical and housing sites as needed at assigned clinicallocation within Virginia.
10% Other Duties as assigned
Qualifications:Minimum Qualifications
- Minimum of 1
-3 years of relevant professional experience or equivalent combination of education, training and experience - Excellent interpersonal and written/verbal communication skills
- Excellent analytical/decision-making skills
- Excellent computer skills (including database management),clerical skills and organizational skills.
- Ability to work effectively both independently and as a team member
- Demonstrated excellence in providing customer service
- Ability to anticipate, identify, and independently solve problems related to the logistics of scheduling hundreds of student experiences throughout Virginia and internationally
- Demonstrated ability in multi-tasking and time management
- Demonstrated ability to work in and foster an environment ofrespect, professionalism and civility with a population of faculty,staff, and students from all backgrounds and experiences, or acommitment to do so as a staff member at VCU.
