The Coordinator, Capture Management role supports Medicaid capture readiness efforts by managing foundational research, coordination, and administrative activities across multiple opportunities. This role enables Capture Managers and Directors to focus on more complex strategic work by ensuring high‑quality organization, consistent information management, and efficient coordination throughout capture readiness phase. The Coordinator serves as a central connective resource across pursuits and contributes to proposal readiness through clear communication, attention to detail, and strong process discipline.

Key responsibilities include:

  • Conduct preliminary market research to develop a foundational understanding of each state's Medicaid program, procurement environment, and opportunity context.
  • Maintain and manage state‑specific Capture Team SharePoint sites using standardized structures, ensuring key insights and source materials are accurate, current, and easily accessible to proposal writers and key stakeholders. This central repository's accuracy and reliability are critical to successful proposal prework.
  • Partner with Capture Managers and Capture Directors to support capture readiness execution by coordinating meetings, tracking materials, managing logistics, and facilitating effective information flow across teams.
  • Support capture‑related meeting management, including scheduling, agenda coordination, detailed note‑taking, action tracking, and follow‑up.
  • Build and sustain effective working relationships across all levels of the organization, including executive leadership, capture teams, subject matter experts, and functional partners.
  • Drive efficiency by proactively managing administrative and coordination tasks, identifying opportunities to streamline processes, and enabling Capture leadership to focus on higher‑complexity strategic work.
  • Oversee the Capture team's shared calendar and inbox during readiness phases, routing requests and flagging priority items in alignment with guidance from Capture leadership.

Required qualifications include:

  • 3–5 years of experience supporting teams in an administrative, coordination, or operational support capacity within a complex, matrixed environment.
  • Proven ability to build and maintain collaborative relationships with internal stakeholders.
  • Strong organizational skills with attention to detail and audience awareness.
  • Ability to prioritize and adapt across multiple projects with competing timelines and changing priorities.
  • Effective problem‑solving skills and creativity in navigating demanding situations.
  • Intermediate proficiency in Microsoft Word, PowerPoint, Excel, and SharePoint.
  • Flexibility to accommodate proposal schedules, including occasional evenings and weekends.
  • Ability to travel up to 15%.

Preferred qualifications include:

  • Excellent verbal and written communication skills.
  • Demonstrated time‑management skills and ability to work independently.
  • Strong collaboration skills and adaptability to rapidly changing priorities.
  • Proficient writing skills with experience managing multiple priorities.
  • Self‑motivated, curious, and solution‑oriented mindset.
  • Demonstrated interest in proposal development, capture management, or healthcare growth strategy, with a desire to progress into advanced capture roles.
