Office Administrator/ Coordinator
Virginia Health Catalyst (www.vahealthcatalyst.org) strives to ensure all Virginians have equitable access to comprehensive health care that includes oral health. Catalyst seeks an Operations Manager to lead administrative duties, support financial controls and fund development, and provide infrastructure for a strong, organized team environment. Specific responsibilities and job requirements are listed below.
Key Responsibilities Operations & Administration- Oversee day-to-day office operations, including vendor management, IT systems, benefit renewals, and office supply procurement.
- Coordinate service requests with external vendors (equipment repairs, training, or facilities).
- Maintain effective use of organizational data management systems and internal digital tools.
- Process purchase requests, including staff travel, and document expenses.
- Provide audit preparation support by compiling and organizing financial records.
- Assist Finance Manager with recordkeeping to ensure compliance with funding contracts.
- Manage the CEO’s calendar, travel, and scheduling priorities.
- Coordinate board and staff meetings, including logistics, agenda preparation, minutes, and follow-up.
- Support onboarding of new staff and board members and maintain personnel files as directed by the VP of Operations.
- Maintain donor/funder CRM database, including timely entry of gifts and acknowledgements.
- Prepare donor correspondence and acknowledgement letters.
- Support logistics for small fundraising campaigns and donor engagement events.
- Coordinate and lead grant kickoff meetings.
- Contribute to grants strategy and support grant reporting and record-keeping with program team members.
- Excellent writing, editing, and proofreading skills.
- Effective interpersonal and communication skills.
- Strong attention to detail.
- Demonstrated time management and organizational skills.
- Strong technical skills and comfort with technology.

- At least four years of experience in an office environment.
- Experience with Microsoft Office/Microsoft 365, CRM databases, and videoconferencing.
- Energetic and eager to tackle new projects and ideas.
$60,000 – $70,000 / year
