Job Description
Southwest Virginia Community College (SWCC) offers career-training programs in numerous technical, industrial and medical fields at a reasonable cost, going so far as to even waive tuition for certain eligible students. Located in Richlands, Virginia, SWCC offers associate's degrees in such fields as business, education, general studies, liberal arts and science. These degrees are primarily intended for students who wish to transfer to a four-year university.
SWCC also has associate degrees that feature programs intended to lead directly to a career in fields such as Nursing, Radiography and Administration of Justice.
The Advancement Support Specialist provides administrative, operational, financial, and donor relations support for the Office of Institutional Advancement and the Educational Foundation. The position supports fundraising, donor stewardship, grants, financial processes, and daily operations while advancing the College's measurable outcomes of Access and Student Opportunity through resources that make education more affordable and attainable, and Efficiency and Resource Stewardship through responsible and effective use of resources.
ResponsibilitiesInclude
- Provide administrative support to the Vice President of Institutional Advancement, including calendar, meeting, travel, and project coordination.
- Support fundraising, donor stewardship, alumni engagement, and foundation activities.
- Maintain donor, alumni, and constituent records and prepare donor acknowledgments and communications.
- Coordinate Foundation Board meetings, agendas, minutes, and supporting materials.
- Process procurement transactions, vendor payments, purchasing card reconciliations, and travel reimbursements.
- Assist with budget tracking, financial reporting, grant administration, and compliance documentation.
- Serve as a primary point of contact for donors, alumni, visitors, and community partners.
- Support special events, campaigns, donor recognition initiatives, and office operations.
This is a grant-funded position. Continued employment in this role is contingent upon funding availability and the needs of the College. Position is not eligible for severance benefits under state policy.
A one-year probationary period is required for both new hires and transfers.
Special AssignmentsMay be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
KSA's/Required Qualifications- Demonstrated experience in administrative, financial, business, or office support experience.
- Proficiency with Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, Teams), SharePoint, Adobe Acrobat, and related business systems.
- Demonstrated Experience with financial transactions, procurement, budgeting, or operational support.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities, maintain accuracy, and handle confidential information professionally.
- Experience in higher education, nonprofit, foundation, fundraising, or advancement environments.
- Experience supporting executive leadership, governing boards, or volunteer organizations.
- Experience with donor management databases, financial systems, procurement platforms, or travel and expense software.
Operation of a State Vehicle No Supervises Employees No Required Travel
Travel is required with this position.
