Job Description

Germanna Community College is a two-year public institution of higher education in the Virginia Community College System. As a comprehensive community college, Germanna provides quality, accessible, and affordable educational opportunities for the residents of the City of Fredericksburg and the counties of Caroline, Culpeper, King George, Madison, Orange, Spotsylvania and Stafford.

The Operations Project Coordinator provides college-wide project management support and direction for the Finance and Operations department to advance institutional priorities. Reporting administratively to the Vice President of Finance and Operations, the position coordinates and monitors assigned projects and initiatives and serves as the division purchaser. Supports project tracking, reporting, and cross-functional initiatives across the college and with external partners.

Provides project leadership, analytical support, and stakeholder coordination to advance initiatives and ensure successful execution of assigned work.

Project and Initiative Coordination
  • Coordinate and support institutional and departmental projects from planning through implementation.
  • Develop project plans, timelines, status reports, and tracking tools to monitor progress and accountability.
  • Facilitate communication and collaboration among leadership, departments, campuses, and external partners.
  • Identify risks, barriers, and emerging issues, recommending solutions and elevating concerns as appropriate.
  • Develop and maintain dashboards, reports, spreadsheets, and analytical tools to support planning and decision-making.
  • Prepare executive briefings, presentations, reports, and other project documentation.
Executive and Administrative Coordination
  • Serve as the primary buyer for the division and manage procurement-related documentation in accordance with College policies.
  • Coordinate the Vice President’s calendar, meetings, travel, and related logistics.
  • Prepare correspondence, meeting materials, travel documents, reimbursement requests, and other support materials.
  • Maintain accurate records and ensure timely follow-up on assigned actions and commitments.
Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications

Required Qualifications
  • Experience in project coordination, administration, operations, finance, business support, or a related field.
  • Experience managing multiple priorities, deadlines, and stakeholder expectations.
  • Experience preparing reports, analyzing information, and supporting informed decision-making.
  • Demonstrated proficiency with Microsoft Excel and other business productivity tools.
Knowledge, Skills, And Abilities

Strong project coordination, organization, and problem-solving skills.

  • Ability to manage multiple priorities independently and follow assignments through completion.
  • Strong analytical skills, including the ability to develop reports, dashboards, and decision-support tools.
  • Ability to build collaborative relationships and coordinate work across diverse stakeholders.
  • Excellent written and verbal communication skills.
  • Sound judgment, discretion, attention to detail, and commitment to customer service.
  • Ability to handle sensitive information with professionalism and confidentiality.
Additional Considerations
  • Experience in higher education, or Virginia state agency
  • Experience with Commonwealth of Virginia procurement processes and systems, including eVA.

Operation of a State Vehicle No Supervises Employees No Required Travel
