Our front desk team plays a critical role in setting the tone for the entire patient experience. This role is the foundation of the practice and often the first step toward growth into scheduling, insurance, or treatment coordination roles.

Patient Communication & Hospitality:
- Greet patients warmly and professionally.
- Answer phones with confidence and empathy.
- Schedule appointments accurately and efficiently.
- Confirm appointments and manage reminders.
- Communicate office policies clearly and kindly.
- Help patients feel informed and supported — never rushed.
- Follow scheduling guidelines to protect the doctor and hygienist schedules.
- Break and reschedule appointments correctly and professionally.
- Document communication accurately in Open Dental.
- Support same-day opportunities and re-activation of unscheduled treatment.
- Avoid passive language such as “call us when you’re ready”.
- Maintain accurate patient information.
- Scan and upload documents properly.
- Collect co-pays and balances at check-in/check-out.
- Assist with basic insurance verification and notes (training provided).
- Follow established SOPs and workflows consistently.
- Professional phone presence.
- Accurate scheduling and documentation.
- Reliability and punctuality.
- Willingness to learn and improve.
- Strong teamwork and communication.
- Positive patient feedback.
Skills:
- Customer service or hospitality experience preferred.
- Dental experience is not required.
- Comfortable using computers and learning new software.
- Open Dental experience is a plus (not required).
- Structured training and clear expectations.
- Supportive leadership and coaching.
- A positive, team-oriented environment.
- Growth opportunities into insurance, scheduling, or treatment coordination.
