Program Manager - Patient Counseling

The Department of Patient Counseling is seeking a motivated and organized professional to apply for a full-time Program Manager position.

Department Summary:

The programs in the Department of Patient Counseling are designed to assist an individual to work in the health field as one skilled in dealing with the whole person in the context of life's crises and in a cooperative interprofessional team approach. The programs are offered to persons who have an existing identity in a helping or counseling profession. This includes clergy, social workers, institutional counselors, education specialists, psychologists, community health workers and others in the health care professions.

Duties & Responsibilities:

  • Provide administrative and operational support for all Patient Counseling Department programs
  • Acquire, maintain, and apply knowledge of university, college, and program policies and processes
  • Manage department financial information (purchases, tracking expenses, reconciling budget)
  • Manage department records retention within the university guidelines
  • Coordinate programmatic assessment and evaluation activities
  • Communicate with guest speakers/lecturers regarding their needs and the content objectives
  • Work directly with program faculty to coordinate curricular activities
  • Assist with marketing and event planning, including development of marketing material according to VCU brand standards
  • Collect data and generate departmental reports
  • Communicate with all students and faculty regarding all aspects of the programs
  • Manage the department's social media and other communication platforms
  • Maintain student records in accordance with state and university policies and specialty accreditation standards

Student:

  • Prepare student applications for admissions review and process admission decisions
  • Assist current and potential students with questions on university and program policies and procedures
  • Assist with recruitment events
  • Scholarship administration (departmental awarded)
  • Assist with planning graduation activities and other special events
  • Develop and execute external communications for the alumni community

Faculty:

  • Provide administrative support to teaching and advising faculty
  • Provide faculty with meeting, conference, and travel support

Minimum Qualifications:

  • Bachelor's degree in a relevant field, or equivalent combination of education, training, and experience
  • 3 or more years of relevant professional experience
  • Previous work experience in higher education
  • Strong organizational skills
  • Demonstrate excellent oral and written communication in daily interactions
  • Proficient in Google Suite, Microsoft Office, and Adobe Acrobat
  • Demonstrated ability to manage responsibilities and complete assignments with minimal direction
  • Demonstrated excellence in customer service skills
  • Proven ability to prioritize work, handle multiple tasks, and meet deadlines
  • Demonstrated ability to handle confidential matters and exercise professional discretion
  • Demonstrated ability to independently problem solve using sound judgement including the ability to identity potential problem areas and develop appropriate plan of action
  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems
  • Ability to clearly articulate specific information in the area of project management
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU

Preferred Qualifications:

  • Master's degree in a relevant field
  • Curriculum/adult learning principles certificate
  • Educational programming experience
  • Proficiency in Banner, Canvas, SLATE, Courseleaf, Docu Sign, Constant Contact, Image Now, SAS Reporting and statistical analysis software

Salary Range: $71,000 - $86,000
