OverviewThe Patient Access Representative delivers high-quality customer service to patients of all ages, their families, visitors, medical staff, clinicians and co-workers, ensuring all interactions are courteous, timely and respectful.
Key Responsibilities- Handle all business functions in an assigned clinical department area including reception, scheduling, and registering patients for appointments and/or procedures.
- Secure appropriate patient information; ensure registration data is correct and accurate; validate insurance eligibility; collect co‑pays and support financial counseling and clearance as necessary.
- Greet patients and answer telephone while providing exceptional customer service, maintaining a courteous, professional tone.
- Collect co‑payments and deposits accurately per payer guidelines; verify and update registration data; record insurance information per standards; handle cash per policies.
- Verify insurance coverage and manage referrals/authorizations for HMO, managed care, government, and private plans; obtain needed approvals before procedures.
- Provide pre‑payment guidance for self‑pay patients, offer financial assistance, prepare cost estimates, explain payment expectations, document interactions.
- Schedule clinic appointments via medical records software; transcribe physician orders accurately; coordinate pre‑operative testing and paperwork.
- Maintain patient medical records; assist in chart preparation and breakdown; ensure appointments recorded in the system, noting no‑shows or cancellations.
- Obtain and scan patient medical documents.
- Notify supervisor of policy violations.
- Perform other duties or special projects as assigned.
Education
- High School Diploma or equivalent required.
- Associates or Bachelor’s Degree in Accounting, Finance, Business Administration, Healthcare Administration or closely related field preferred.
Licensing/ Certification
N/A required or preferred.
Minimum Qualifications- Demonstrated experience using computers, Microsoft Office applications, and web‑based platforms.
- Experience with medical insurance, HMO, managed care, electronic medical billing/order entry/registration systems, and appointment scheduling preferred.
- Previous work experience in a healthcare setting and knowledge of medical terminology.
- Able to perform daily activities with minimal supervision; self‑directed routine tasks.
- Possibly required to work off‑shifts, weekends, and holidays.
Periods of high stress and fluctuating workloads may occur. General office environment. May have periods of constant interruptions. Prolonged periods of working alone.
