Overview
The GME-Dept Program Coordinator Senior coordinates and supports the graduate and undergraduate functions with program directors to ensure programs remain in good standing with VCU Health Systems Graduate Medical Education (GME) and the Accreditation Council for Graduate Medical Education (ACGME). The Program Coordinator is an administrative partner responsible for the operations of the accredited/non‑accredited residency/fellowship training program and requires a comprehensive understanding of national accreditation policies and hospital policies.
Responsibilities- Recruit trainees and conduct trainee evaluations.
- Analyze administrative workflow, prioritize tasks, and manage projects to meet deadlines.
- Compile reports, maintain databases, and manage program relations and communications internally and externally.
- Serve as primary liaison with the Office of Graduate Medical Education, School of Medicine Curriculum Office, and the ACGME.
- Coordinate activities with students, residents, fellows, program directors, and the Vice Chair for Education.
- Participate in at least one committee designed to improve an aspect of Graduate Medical Education.
- Minimum of three (3) years of experience in program or project management, preferably supporting an accredited education program.
- Prior experience using software applications including New Innovations, e‑mail, calendaring products, Microsoft applications, and web‑based databases.
- Preferred:
Minimum of five (5) years of progressively responsible GME experience supporting an ACGME accredited program and experience with New Innovations, GME Tracking, Kronos, and ACGME Milestones program requirements. - TAGME Certification preferred.
- Required:
Bachelor’s degree in Business, Finance, Human Resources, Education, or a related field from an accredited program; or equivalent relevant experience. - Preferred:
Master’s degree in Education, Business, Finance, Human Resources or a related field from an accredited program; or equivalent relevant experience.
- Strong personal motivation to manage daily activities, organize, plan, prioritize, and complete tasks promptly and efficiently.
- Ability to interpret and verify policies and regulations applicable to educational programs.
- Critical thinking and decision‑making skills to evaluate situations, recommend actions, communicate, and implement appropriate actions on behalf of Program Director(s) and Vice Chair of Education.
- Ability to develop and sustain productive relationships with learners, faculty, staff, vendors, manufacturers, and Grand Rounds presenters.
May supervise support staff as required and may provide performance input to the Program Director.
Additional RequirementsEvenings, weekends, and flexible scheduling may be required due to the nature of the job.
