Position Summary:

The Senior Executive Administrator provides high-level administrative and operational support to the Senior leadership team. This position serves as a trusted administrative partner and central point of coordination for executive schedules, communications, meetings, projects, records, and organizational priorities. This position requires exceptional discretion, attention to detail, and the ability to anticipate executive needs.

Primary Duties and Responsibilities:
  • Promotes superior guest service.
  • Maintains, and perpetuates a positive organizational culture according to the principles of the Spirit of Tâlícn and the Core Values of ilani.
  • Provide comprehensive administrative support to the Senior leadership team.
  • Support communication between the executive leadership, regulatory representatives, and other authorized parties.
  • Serve as a professional and responsive point of contact for the offices of the supported executives.
  • Manage complex executive calendars, appointments, meetings, deadlines, and competing priorities.
  • Coordinate travel arrangements, itineraries, conference registrations, accommodations, and expense documentation.
  • Anticipate executive needs and proactively address scheduling conflicts, deadlines, documentation requirements, and follow-up activities.
  • Coordinate meetings, executive sessions, committee meetings, and other governance-related activities.
  • Attend assigned meetings, record accurate minutes, document decisions, and maintain action-item logs.
  • As requested, prepare correspondence, reports, presentations, agendas, meeting materials, spreadsheets, and other executive-level documents.
  • Maintain organized executive files, records, contact lists, and document-management systems.
  • Prepare and distribute meeting notices, agendas, packets, presentations, resolutions, and supporting documentation.
  • Monitor follow-up assignments and deadlines resulting from executive meetings.
  • Provide administrative coordination for major organizational projects, capital initiatives, strategic priorities, and executive work plans.
  • Maintain project schedules, milestone reports, action-item trackers, decision logs, and supporting documentation.
  • Coordinate meetings involving contractors, consultants, vendors, legal counsel, financial institutions, and internal stakeholders.
  • Process purchase requests, invoices, expense reports, and related administrative documentation within established authorization requirements.
  • Maintain official governance records in accordance with applicable retention, confidentiality, and security requirements.
  • Coordinate information across departments while maintaining confidentiality and respecting established reporting relationships.
  • Receive and appropriately direct inquiries involving sensitive, urgent, or high-profile matters.
  • Build effective working relationships with Gaming Authority members, Executives, Tribal representatives, regulatory agencies, vendors, and community partners.
  • Support special events, executive meetings, presentations, and other organizational activities as assigned.
  • Maintains confidentiality of sensitive information.
  • Other duties as assigned.
Minimum Qualifications:
  • Associate degree in business administration, office administration, project coordination, or a related field.
