Administrative Assistant

We're looking for a detail-oriented, highly motivated Administrative Assistant to join our project team in Rio Rancho, NM. You'll serve as a key point of contact for clients and staff — managing documents, coordinating meetings, supporting project managers, and keeping operations running smoothly across a fast-paced construction and utility environment. If you're organized, professional, and thrive in a collaborative team setting, this role is for you.

What

You'll Do
  • Serve as the first point of contact — professionally answer calls, respond to inquiries, and welcome visitors
  • Provide administrative support to project managers, project teams, and local leadership
  • Manage document control — ensure team compliance with document management protocols and support file uploads and sharing
  • Coordinate meetings including agendas, summaries, scheduling, room setup, presentation materials, and meal ordering
  • Prepare and edit reports, presentations, and data compilations for client and internal use
  • Develop and format professional PowerPoint presentations for client meetings, training, and internal reviews
  • Track project schedules, deliverables, and action items; support project reporting and KPI tracking
  • Maintain project document repositories and version control
  • Coordinate travel arrangements and logistics for project teams
  • Assist with onboarding project personnel; support filing, time reporting, and training hour tracking
  • Handle confidential and sensitive information with discretion
What You Need
  • High school diploma or equivalent
  • 3+ years of administrative, project coordination, or office management experience
  • Proficiency in Microsoft Office Suite — Outlook, Word, Excel, PowerPoint, and Teams
  • Proficiency in Microsoft Teams, SharePoint, and Adobe Acrobat
  • Experience supporting construction, utility, or infrastructure projects
  • Valid New Mexico driver's license with no major infractions
  • Strong written and verbal communication skills with high attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
Nice To Have
  • Experience in a public utilities operations environment
  • Advanced or specialized training in administrative support
  • Ability to travel between project sites, client offices, and the local office as needed
  • Proven self-starter with strong organizational skills and high level of professionalism
