The Project Accountant (PA) is responsible for accurately recording and processing the financial transactions of assigned projects for RSVC Company. This includes daily tasks such as accounting for costs in the correct cost code (job costing), preparation of client pay applications, commitment accounting including lien release management, and payment processing to subcontractors and vendors. This individual will maintain project-related accounting records, ensuring accuracy and compliance to company accounting policy and procedures.
The Project Accountant will operate as a self-starter and will proactively address financial issues and provide detailed and timely reports to project managers and management. Additionally, they will oversee budget accounting accuracy, track and record expenses, and ensure timely billing and collections. The Project Accountant role is crucial as it ensures the financial health and success of each project, while also supporting overall financial planning and analysis for RSVC Company.
The project accountant records and reports the financial activity of a project to support the needs of the accounting department, construction division, and project level needs. They support the Project Manager, who is the lead manager for the project and liaison to the client. The Project Accountant will maintain the highest level of professionalism and ethics in the performance of their job duty and cooperate and contribute to the accounting team and project teams that they support.
FUNCTIONS/RESPONSIBILITIES Project & Contract Setup
- Set up new projects in accounting systems, including contracts, budgets, and schedules of values
- Review prime contracts for billing terms, retention, and compliance requirements
- Maintain accurate project documentation including change orders and preliminary notices
- Prepare and submit monthly client pay applications (AIA billing)
- Track and manage collections in accordance with contract terms
- Investigate and resolve any billing discrepancies
- Identify opportunities for additional billings or revenue recognition
- Collect, review, and process subcontractor invoices
- Ensure subcontractor compliance, including insurance, lien releases, and required documentation
- Process subcontractor payments in accordance with contract terms
- Maintain accurate lien release tracking for all vendors and subcontractors
- Accurately code and track all project costs by cost code
- Monitor budgets and job cost reports for accuracy and completeness
- Investigate variances and unbilled costs
- Assist with month-end close related to project financials
- Partner with Project Managers to conduct monthly job cost review meetings
- Perform monthly budget audits to ensure financial accuracy and cost control
- Reconcile prime contracts and subcontracts, including all change orders
- Support cash flow management and forecasting at the project level
- Reconcile all project financials upon completion
- Ensure all final billings, costs, and lien releases are complete and accurate
- Assist with audits as needed
- Additional tasks requested from Project Accounting Lead or Controller
- Minimum 5+ years of project accounting experience within a general contractor environment
- Strong understanding of construction accounting and job costing
- Experience managing multiple projects simultaneously
- Proficiency in Procore (required)
- Strong experience with job costing and budget tracking
- Experience with client billing (AIA pay apps)
- Knowledge of subcontractor compliance and lien release processes
- Strong understanding of construction contracts and change orders
- Ability to thrive in a fast-paced, deadline-driven construction environment
- Excellent organizational, analytical, and problem-solving skills
- Ability to work both independently and collaboratively with project teams
- Ability to maintain a high level of professionalism and professional demeanor in all communications
- Ability to lift and carry office materials and supplies weighing up to 25 pounds occasionally
