We’re seeking an experienced Executive Assistant to the CEO to coordinate executive-level communications and meetings with discretion, precision, and confidence. This role is critical to the success of the CEO and senior leadership team.
Executive Calendar & Inbox Management
Manage a complex, ever-changing calendar and resolve scheduling conflicts
Review, prioritize, and in some cases respond to 300+ emails per day
Act as gatekeeper to the CEO’s time, ensuring maximum efficiency
Travel & Expenses
Coordinate domestic and international travel
Prepare and reconcile expense reports and travel documentation
Meetings & Executive Materials
Prepare agendas, presentations, and executive-level materials
Capture action items and drive follow-up to completion
Confidentiality & Records
Maintain confidential files and sensitive executive information
Ensure organization, accuracy, and version control of documents
Leadership & Board Support
Serve as liaison with senior leadership, board members, and external partners
Coordinate board and leadership meetings and support executive onboarding
Team Support & Communications
Help standardize administrative processes and improve workflows
Support company events and CEO-led communications
✅ Qualifications
5+ years supporting C-suite or executive leadership
Proven experience managing high-volume inboxes and complex calendars
Strong board communication and interaction experience
Exceptional written and verbal communication skills
High level of discretion, organization, and follow-through
Proficient in Microsoft Office and calendar/expense systems
Willing to work occasional extended hours and travel as needed
