The County of Riverside Transportation & Land Management Agency (TLMA) is seeking an Executive Assistant I to support the TLMA Administration Department in Riverside, CA. This position provides administrative support to the TLMA Administrative Services Manager and other staff, playing a key role in supporting daily administrative operations, front desk coverage, and serving as a backup to other staff as needed.
PrimaryResponsibilities
- Answer and screen incoming calls, manage incoming and outgoing mail, and maintain the manager’s Microsoft Outlook calendar.
- Schedule meetings, serve as a liaison between management and department staff, and provide front‑desk and receptionist coverage.
- Prepare minutes of meetings, type correspondence, memoranda, reports, documents, orders, payrolls, briefs, and statistical data such as charts, tables, and graphs.
- Set up and maintain office files, record and index using computer applications (e‑mail, word processing, spreadsheet and special databases).
- Maintain control files to monitor status and expedite completion of staff assignments.
- Sort, screen, and route incoming mail.
- Provide general information to office and telephone callers and refer them to the appropriate party.
- Compile and summarize information, data, and figures for reports.
- May lead subordinate staff in routine clerical assignments.
- May serve as secretary to an assigned Commission; arrange meetings and schedule appointments; answer correspondence independently; prepare weekly meeting agenda; assemble data, reports, and material prepared by Department staff for Commissioners and Commission meetings as required.
- Three years of broad and varied clerical experience, or equivalent education and training.
- Experience providing administrative support to a department manager or higher.
- Experience supporting administrative operations within a government agency.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Experience using Adobe Acrobat, Microsoft Visio, SharePoint, Service Now, and People Soft Financials.
- Ability to adapt to changing priorities and act as a positive change agent.
- Familiarity with county customer service objectives and strategies, and telephone, office, and online etiquette.
- Solid knowledge of typing layouts, business English, indexing and filing, office equipment operations, modern office and record‑keeping procedures, basic arithmetic, and current technology and trends.
- Proofreading, data entry, prioritization, and effective relationship building with management and staff.
Education: High‑school graduation or a satisfactory G.E.D. score may be required.
License/Certificate: Possession of a valid California Driver’s License may be required.
