Enable Dental is dedicated to providing comprehensive and compassionate dental care. We are looking for a highly organized, detail-oriented, and professional individual to serve as the central hub of our dental office, ensuring seamless daily operations and exceptional patient and staff support.
The Role:
The Dental Office Coordinator is a pivotal, hands-on role responsible for overseeing the daily operations, administrative functions, and logistics of the dental center. You will be the primary point of contact for all stakeholders, ensuring an efficient, compliant, and well-managed office environment.
Key Responsibilities Include:
Office Management & Logistics:
- Maintain a consistently clean, organized, and professional office environment in adherence to all health and safety standards.
- Manage equipment and supply restocking, meticulously ensuring all dental kits are complete, sterilized, and ready for use.
- Establish and execute a rigorous protocol for the check-in and verification of all incoming laboratory cases against prescriptions.
- Conduct proactive, comprehensive inventory audits and manage the supply chain, including timely ordering to prevent stock-outs and implementing a "First-In, First-Out" (FIFO) system for stock rotation and expiration tracking.
- Coordinate all necessary maintenance, repairs, and servicing for company vehicles.
Administrative & Reporting Functions:
- Compile and generate operational reports as requested by management.
- Meticulously review and reconcile invoices (especially lab bills) against contracted pricing, identifying and reporting discrepancies.
- Execute routine regulatory compliance tasks (e.g., OSHA, HIPAA) and maintain organized records.
- Efficiently manage, organize, and track all Service Determination Requests (SDRs) and act as the primary liaison for complex resolutions.
- Manage the entire specialist referral process, including preparing patient records and submitting authorization requests through relevant portals (e.g., PACE).
- Provide essential support in organizing and executing staff training sessions focused on administrative duties and compliance.
Communication, Coordination, and Quality Assurance:
- Serve as the central and primary point of contact, communicating clearly, professionally, and empathetically with patients, staff, external partners (e.g., PACE program HUB, labs), and corporate leadership.
- Act as the primary coordinator for all external laboratory logistics.
- Conduct regular audits of the electronic Lab Case board (e.g., Healier) to ensure accurate tracking, current status, and timely return of all lab cases, promptly following up on any delays.
