Assistant Regional Manager

Pride Staff is currently seeking an Assistant Regional Manager for a company located in Riverside, CA. This is a full-time, contract to permanent position with opportunity to grow. Please see job requirements below to be considered.

Job summary:

Assistant Regional Manager supports the Western Regional Manager in overseeing inspection, testing, and office operations within the Western Region (e.g., California and other assigned western states), ensuring compliance with the company Quality Assurance Manual (QAD 100), applicable regulatory requirements, and client contracts. This role provides day-to-day support for regional personnel, facilities, equipment, and client relationships, with a particular emphasis on office coordination, logistics, and report/invoicing activities, while maintaining independence, impartiality, and integrity in all inspection activities.

Duties & Responsibilities

Quality and Compliance-20%

  • Support the Regional Manager in ensuring regional operations conform to the company Quality Assurance Manual (QAD 100) and associated Quality Assurance Directives (QAD 100, 200, 300 series) for testing, inspection, document control, and reporting.
  • Assist with implementation of corporate quality policies and objectives, including internal audits, corrective and preventive actions, management review input, and continuous improvement feedback from regional activities.
  • Help enforce independence, impartiality, and confidentiality requirements for regional personnel in line with Type A inspection body obligations and QAD 100 Sections 3 and 4.
  • Support adherence to methods and procedures specified by regulatory authorities (e.g., USDOT, Transport Canada) and relevant standards used for pressure receptacle/pressure equipment verification.

Operational Leadership and Office Coordination

  • Assist with day to day scheduling, resource allocation, and performance monitoring of inspectors and support staff within the Western Region.
  • Coordinate office duties at inspector locations, regional office (RO), and laboratory offices, including ordering supplies (e.g., gas supplies via Westair/Pacific Coast Propane, office supplies for inspector locations, RO, and Laboratory offices).
  • Manage shipping and receiving activities (UPS, Fed Ex, miscellaneous freight) for equipment, reports, and supplies in cooperation with regional lab employees.
  • Coordinate equipment calibration activities, including shipping items for calibration, reviewing calibration documentation, and initiating/creating purchase orders (POs) for calibration vendors (e.g., Additel, MQC).
  • Support equipment repair processes, including preparing POs and arranging shipping for repair to vendors (e.g., FLW, Haskel), in coordination with the Regional Manager, or designated lab employees.
  • Coordinate janitorial and cleaning services, determining onsite needs and working with service providers; ensure billing and communication with NC as required.
  • Assist with backflow prevention activities by coordinating schedules and ensuring backflow reports are prepared and submitted.
  • Support EPA surveys by gathering data, completing survey forms, and submitting responses as required in coordination with the Regional Manager.
  • Coordinate hazardous waste pickup activities with lab employees, ensuring proper scheduling, documentation, and vendor interaction when pickups are needed.
  • Coordinate garbage pickup with lab employees, ensuring regular and special pickups are scheduled as needed.
  • Act as an onsite contact for property management issues.
  • Assist in coordinating the use, maintenance, and calibration of regional facilities and equipment in accordance with QAD requirements, including equipment identification, maintenance, calibration, and defective equipment disposition.
  • Support proper handling, identification, documentation, and processing of samples for tests and inspections within regional laboratories and client locations.

Personnel and Administrative Support-15%

  • Assist the Regional Manager in maintaining appropriate staffing levels of qualified inspectors and support personnel to meet contractual obligations and regulatory expectations.
  • Support recruitment, selection, and onboarding activities for regional staff, including coordination of hazard materials training and documentation.
  • Help ensure initial and ongoing training, HMT certification, and competency records are maintained for all regional personnel, in cooperation with Quality Assurance and HR.
  • Provide administrative support such as timekeeping coordination, travel logistics, expense reporting, and maintenance of office records and controlled documents, forms, and electronic systems (e.g., SharePoint).
  • Manage the phone system and direct phone calls as needed.

Client, Contract, and Regulatory Interface- 10%

  • Support the Regional Manager as a secondary contact for Western Region clients regarding scope of work, scheduling, service performance, and resolution of operational issues.
