Account Maintenance Specialist

The Account Maintenance Specialist will process new account applications as well as maintain account updates as requested. The role also collaborates with the CFS department and sales representatives for proper account coding, maintenance approvals, and terms updates.

Primary Responsibilities
  • Accurately establish new accounts within UOPS in adherence to all new account set‑up regulations and procedures.
  • Obtain required paperwork from various departments as needed.
  • Update billing and shipping addresses with appropriate approvals from CFS representatives.
  • Apply hard codes to accounts with appropriate discount classes and dating terms.
  • Update packing list preferences, back‑order time limits, and credit rep assignments as requested.
  • Examine all tax paperwork and obtain proper signatures from Customer and Upper Management and any additional documents to ensure compliance.
  • Initiate account closures by requesting approvals from upper management and CFS reps.
  • QC, sign, and scan work onto the shared drive upon completion.
  • Work with customer service to receive updated tax documents, billing address requests, and orders as needed.
  • Initiate freight routing setup through transportation for freight forwards and other special accounts.
  • Maintain account records and statistics for all account updates.
  • Collaborate closely with Order Processing to ensure accounts are set up and orders sent back in a timely manner as they relate to events.
  • Title Maintenance (price points, status changes, etc.).
  • Document and develop processes as needed.
  • Interact frequently with customer service and sales reps to resolve issues and gather information.
  • Create queries from Excel and Access to run required reports.
  • Run and create macros for mass title and account maintenance updates.
  • Manage restrictions table (account or title level).
  • QC manual orders and enter manual orders.
  • QC Account Maintenance work.
  • Other duties as necessary.
Required Knowledge and Experience
  • Analytical ability in relation to Order Processing / Order Management systems.
  • Excellent attention to detail.
  • Excellent time‑management skills.
  • Excellent data entry skills.
  • Strong communication skills (written and verbal).
  • Ability to multi‑task and prioritize accordingly.
  • Critical thinking and decision‑making skills.
  • Organizational skills.
  • Strong PC skills (Excel, Word, Outlook, Access).
Scheduled Work Hours

Monday – Friday, 8:30 am – 5:00 pm
