Front Office Coordinator
Reports To: General Manager/Clinical Coordinator, position is non‑exempt
We are seeking a Medical Office Coordinator to join a team that values ethical billing and clinical practices while supporting staff and clients. The role focuses on customer service, scheduling, office management, and maintaining a positive clinic environment.

- Serve as primary client contact; answer calls and resolve inquiries with support from the General Manager
- Review and verify timely arrivals and departures of clients and clinical staff
- Adjust coverage as needed for call‑outs from clients and clinical staff
- Verify insurance benefits during client onboarding and authorization periods
- Oversee daily clinic operations, cleanliness, supplies, and maintenance
- Collect copays and private pay balances
- Support team meetings and communicate schedule updates
- Maintain high satisfaction standards and vendor effectiveness
- Review all previous day’s billing
- Act as main contact for clinic, responding to all client and parent requests
- Communicate daily activities and schedule changes to staff
- Oversee scheduling and assist the Associate Director of Clinical Services/Clinical Coordinator
- Ensure customer satisfaction and purchase/maintain materials and supplies as needed
- Stay within facility budget
- 1–2 years medical receptionist experience
- 1–2 years customer service experience
- 1–2 years scheduling experience
- 1–2 years insurance verification and authorization experience
- High School Diploma required
- AA or Bachelor’s Degree preferred
- Maintains a positive, solution‑oriented attitude in a fast‑paced environment
- Approaches challenges with professionalism, patience, and empathy
- Effectively resolves conflicts with patients, families, and team members while maintaining positive relationships
- Remains calm under pressure and de‑escalates difficult situations
- Accepts feedback with professionalism and a commitment to continuous improvement
- Must be authorized to work in the United States
- Must pass a Level 1 and Level 2 background check
- Must have a valid driver’s license, proof of insurance, and reliable transportation (supporting multiple clinics)
The physical demands described are representative of those required to perform the essential functions of this role. The employee will regularly be required to communicate effectively in English, stand and walk, use hands to handle or feel objects, and reach with hands and arms. The position may require sitting, standing, and walking for extended periods of time.
