Our client, a well-established Commercial HVAC & Plumbing company based in West Palm Beach, is seeking temporary support within their Service Department to assist with backlogged billing. This is a key short-term role designed to help the team get caught up on service billing before they begin transitioning into a new software system in the fall. They service only commercial clients-including schools, hotels, nursing homes, and large institutional facilities (e.g., The Breakers, Jewish Federation).

Their work includes both reactive service work and recurring maintenance contracts with varying billing structures.

Key Responsibilities:

Review open work orders and determine billing status-what has been billed, what hasn't, and what needs to be closed out.

Generate invoices based on time & labor, materials, and service agreements.

Run reports to track outstanding billing and identify any unbilled or missed POs.

Coordinate with the Service Coordinator and field techs to ensure accuracy of billing details.

Communicate with customers when needed to confirm billing setups and resolve discrepancies.

Assist with organizing and streamlining the current billing process ahead of their Viewpoint Spectrum ERP software transition.

Manage and differentiate between maintenance schedules and billing timetables, ensuring timely and accurate invoicing.

What We're Looking For:

Strong understanding of service billing in the commercial HVAC or Plumbing industries.

Familiarity with different billing structures: one-time, recurring, time & materials, labor-based, etc.

Experience navigating billing for complex service agreements-especially with commercial clients.

Ability to analyze existing systems and identify inefficiencies or inconsistencies in current processes.

Experience with ERP systems is a plus-particularly Viewpoint Spectrum (Trimble).

Comfortable working independently while collaborating with internal teams and external clients.

Not an accounting role, but a working knowledge of billing workflows is essential.
