Job Purpose
Provide comprehensive administrative support to the Senior Director, managing calendars, organizing travel logistics, coordinating meetings and events, and ensuring effective communication within the team. This role facilitates efficient operations by maintaining accurate documentation, tracking budgets, and serving as a liaison for internal and external communications while upholding confidentiality and compliance with organizational policies.
Job Specific Accountabilities Administrative Support- Provide high-level administrative support to the Senior Director by managing calendars, scheduling meetings, and handling correspondence to facilitate effective time management and communication.
- Organize and maintain the Senior Director’s calendar, scheduling appointments, prioritizing engagements, and coordinating meeting logistics to optimize availability and ensure efficient use of time.
- Arrange travel itineraries, including flights, accommodations, and ground transportation, ensuring all logistics are organized in advance and aligned with the Senior Director's schedule and preferences.
- Provide administrative assistance such as writing and editing e-mails, drafting memos, and preparing communications on behalf of the Senior Director.
- Oversee office supply inventory and logistical needs for training sessions and meetings, coordinating purchases or resource allocation as needed.
- Support project management activities by tracking deadlines, deliverables, and action items, ensuring that projects progress according to timelines and objectives.
- Coordinate logistics for meetings and events, including scheduling, agenda preparation, minute-taking, and follow-up actions to ensure successful execution and effective communication among participants.
- Act as a point of contact for internal and external communications, facilitating the flow of information and addressing inquiries related to the Athlete Performance Services’ activities.
- Provide administrative support to team members as needed, assisting with various tasks to promote a collaborative and productive work environment.
- Coordinate daily activities and schedules across Athlete Performance Services to facilitate smooth operation and timely communication within the team.
- Attend meetings as needed and prepare and circulate minutes to relevant stakeholders.
- Maintain the confidentiality of sensitive information and ensure adherence to organizational policies and procedures in all administrative activities.
- Ensure accurate and organized record-keeping of all administrative documents and communications to facilitate easy retrieval and compliance with organizational standards.
