We are looking for a highly organized and analytical Planning Specialist to manage the day-to-day planning and optimization of surveyor schedules. This role plays a critical part in ensuring appointment availability, maximizing staffing efficiency, and continuously improving performance through data review and feedback.
Key Responsibilities- Manage and optimize daily surveyor schedules to ensure maximum appointment availability and utilization.
- Ensure appointments are accurately matched with surveyors and staffing levels are maintained.
- Re-arrange appointments when cancellations occur (by surveyors or beneficiaries).
- Update and maintain schedules and absence data on the Magenta system.
- Ensure absence data is accurately recorded and shared with Field Operations teams for timekeeping and absence management.
- Monitor and improve survey appointment optimization and scheduling effectiveness.
- Maintain high standards of professionalism, including adherence to company values, Code of Conduct, and ethical standards.
- Comply with all company policies, procedures, security, privacy, health & safety, and safeguarding requirements.
- Perform additional tasks as required, appropriate to the role.
- Specialist knowledge of workforce management software is preferred.
- Strong knowledge of MS Office, particularly advanced Excel and PowerPoint.
- Ability to remain calm under pressure in a fast-paced environment.
- Strong planning, organization, and time-management skills.
- Excellent analytical skills with a continuous improvement mindset.
- High attention to detail.
- Strong teamwork and communication skills.
- Ability to manage multiple complex tasks simultaneously and meet deadlines.

- Previous experience using workforce management or CRM systems.
- Prior experience in a scheduling or planning function is preferred.
