We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative and personal support to a senior executive. The role requires exceptional communication skills in English, meticulous attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This position plays a critical role in ensuring seamless daily operations, optimizing time management, and maintaining professional excellence in all interactions.
Key Responsibilities Executive Support & Coordination- Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements.
- Coordinate domestic and international travel logistics including flights, accommodations, visas, and itineraries.
- Prepare meeting agendas, presentations, correspondence, and reports in fluent English.
- Handle all English correspondence including emails, letters, and official communications with professionalism.
- Screen and prioritize incoming calls, emails, and requests on behalf of the executive.
- Liaise with internal teams, external stakeholders, clients, and partners in English and Arabic as needed.
- Organize and maintain confidential files, documents, and records with strict discretion.
- Prepare expense reports, invoices, and process reimbursements accurately and timely.
- Manage office supplies, contracts, and administrative procedures.
- Organize and coordinate business meetings, conferences, and corporate events.
- Take detailed meeting minutes and follow up on action items and deadlines.
- Ensure all logistical arrangements are executed flawlessly for events and engagements.
- Assist with personal errands, appointments, and household coordination as required.
- Manage personal schedules and commitments to ensure work-life balance for the executive.
- Handle ad-hoc requests and special projects with flexibility and initiative.
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum 3–5 years of experience as a Personal Assistant, Executive Assistant, or similar role.
- Fluency in English (written and spoken) is mandatory.
- Proficiency in Arabic is highly preferred.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities with excellent time management skills.
- Discretion and ability to handle confidential information with integrity.
