Job Brief

We are looking for a highly organized and proactive Executive Assistant to provide comprehensive administrative, coordination, and project support to the Chief Business Officer (CBO). The role requires excellent communication skills, strong attention to detail, and the ability to manage multiple priorities while maintaining confidentiality and professionalism. The Executive Assistant will play a critical role in ensuring smooth executive operations and effective stakeholder coordination.

Job Responsibilities
  • Calendar Management: Efficiently manage the CBO’s schedule, including meetings, appointments, and travel arrangements. Coordinate with internal and external stakeholders to ensure availability and optimal utilization of the CBO’s time.
  • Communication and Correspondence: Draft and prepare correspondence on behalf of the CBO, including emails, memos, reports, and presentations. Maintain clear and effective communication channels to ensure timely and accurate dissemination of information.
  • Meeting Coordination: Organize and schedule meetings, prepare agendas, and coordinate meeting logistics. Take accurate meeting minutes and proactively follow up on action items to ensure timely completion. Collaborate with members of the executive team to support effective decision-making.
  • Project Support: Assist the CBO in managing various projects and initiatives by providing administrative and coordination support. Conduct research, collect data, track progress, and prepare reports as assigned. Ensure smooth coordination between departments and stakeholders involved in projects.
  • Document Management: Maintain and organize important documents, records, and files. Develop effective filing systems to ensure easy access to information while safeguarding sensitive and confidential data with the highest level of discretion.
  • Relationship Management: Build and maintain strong working relationships with internal and external stakeholders, including clients, vendors, and partners. Act as a key point of contact and interface between the CBO and stakeholders, responding to inquiries or requests on their behalf when required.
  • Personal Assistant Management: Oversee and coordinate all personal assistant functions, ensuring efficient scheduling, task delegation, communication handling, and proactive support to optimize the executive’s daily operations and time management.
  • Job Requirements
    • Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
    • Strong organizational and time-management skills with the ability to handle multiple priorities.
    • Excellent written and verbal communication skills.
    • High level of professionalism, discretion, and confidentiality.
    • Proficiency in MS Office and common business communication tools.
    • Ability to coordinate with multiple departments and external stakeholders.
    • UAE Driving License is an added advantage.
