PositionBrief
The PMO Officer supports the Project Management Office by managing project documentation, tracking approvals and reports, and coordinating with internal departments to ensure smooth project operations. The role involves maintaining pre-qualification documents, updating project and employee records, preparing trackers and reports, and supporting compliance and insurance processes.
This position requires strong organizational skills, attention to detail, and effective coordination to ensure accurate reporting and timely follow-ups across projects.
Key Responsibilities Technical Office Documentation- Manage and update company pre-qualification documents
- Maintain CSI Company Profile updates
- Update project approvals and employee certificates
- Maintain and update organizational chart
- Follow up on new offers with clients
- Handle pre-qualification comments and updates
- Coordinate with Finance, HR, and Admin departments for pending management matters
- Follow up with Project Managers on PMO requirements
- Maintain Project Approvals Tracker
- Prepare New Offers Tracker Report
- Update Employee Mobilization Planner
- Prepare Employee Histogram Report
- Gather photos and videos of various activities of projects
- Upload project data to server folders
- Coordinate with social media team for company promotions
- Manage project insurance processes (professional indemnity, public liability, etc.)
- Complete documentation and coordinate until policy issuance
- Bachelor's degree in Project Management, Business Administration, Engineering, or related field
- 3–7 years of experience in PMO, Technical Office, or similar role
- Strong documentation and reporting skills
- Excellent coordination and follow-up abilities
- Proficiency in MS Office (Excel reporting is essential)
- Strong communication skills
- Project management certifications and familiarity with project management tools such as (MS Project, Primavera P6, Jira, Click up or similar) is a plus.
