We are seeking a highly skilled Executive Secretary to join a leading medical Centre in Riyadh, Saudi Arabia. As an Executive Secretary, you will play a crucial part in streamlining operations, enhancing productivity, and ensuring that our executives can focus on strategic decision-making. Your organizational prowess and attention to detail will be instrumental in managing daily tasks and supporting our leadership team.

Responsibilities
  • Manage the executive's calendar, scheduling meetings and appointments to maximize productivity and ensure efficient time management while utilizing tools like Google Calendar or Microsoft Outlook.
  • Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism in all communications to uphold the agency's standards.
  • Coordinate travel arrangements, including flights and accommodations, to facilitate seamless travel experiences for executives attending conferences or client meetings.
  • Act as a liaison between executives and internal/external stakeholders, maintaining strong relationships and ensuring clear communication channels are established.
  • Organize and maintain filing systems for both electronic and paper documents, ensuring that sensitive information is stored securely and is easily accessible.
  • Conduct research and compile data for special projects, providing valuable insights and recommendations to support strategic initiatives.
  • Support the onboarding process for new employees, ensuring they have the necessary resources and information to integrate smoothly into the team.
  • Participate in team meetings and contribute ideas for process improvements, fostering a culture of innovation and collaboration within the agency.
  • Skills
    • Exceptional organizational skills to manage multiple tasks efficiently and effectively.
    • Strong communication abilities, both written and verbal, to convey information clearly.
    • Proficiency in office software, including Microsoft Office Suite and Google Workspace, for document creation and management.
    • Ability to maintain confidentiality and handle sensitive information with discretion.
