We are looking for a highly organized, proactive, and detail-oriented Executive Assistant & Operations Coordinator to support leadership, coordinate daily operations, and contribute to the continued growth of the organization.
Position SummaryThe Executive Assistant & Operations Coordinator plays a key role in supporting the leadership team and ensuring smooth day-to-day operations across the organization. This role combines executive support, administrative coordination, project follow-up, research, professional writing, and operational organization.
The ideal candidate is a highly organized, bilingual professional and an excellent communicator capable of managing multiple priorities while working in a fast-paced, mission-driven environment.
Key Responsibilities- Executive Support: Manage executive calendars, coordinate internal/external meetings, prepare agendas, record minutes, and follow up on action items.
- Project & Team Follow-Up: Monitor projects, initiatives, and management directives to ensure timely execution across departments.
- Research & Reporting: Conduct research to support strategic business decisions; prepare clear reports, summaries, briefing documents, and presentations.
- Documentation & Copywriting: Draft professional proposals, policies, procedures, and organizational documents; assist in developing educational and training materials.
- Operations Support: Organize information from multiple sources into actionable outputs; assist in coordinating client appointments, assessments, and training schedules.
- Local Compliance Coordination: Assist leadership with routine administrative updates on local platforms (e.g., "Qiwa, Muqeem, Mudad, or GOSI") as required for operational continuity.
- Education: Bachelor's degree in Business Administration, Management, Human Resources, Communications, Psychology, or a related field.
- Experience: Minimum of 2–3 years of experience in executive support, administration, operations coordination, or a related role.
- Language
Skills:
Professional fluency in both Arabic and English (written and verbal) is required for local vendor, client, and government communications. - Technical
Skills:
High proficiency in Microsoft Office, Google Workspace, and digital productivity platforms. - Core Competencies: Strong research capabilities, analytical skills, exceptional attention to detail, and a proven ability to manage multiple priorities.
- Discretion: Absolute professionalism in handling confidential medical, financial, and organizational data.
- Experience using modern AI tools to streamline drafting, research, and data organization.
- Previous experience working in healthcare, mental health, education, consulting, or professional services within Saudi Arabia.
- Familiarity with Saudi labor laws and corporate regulatory frameworks.
