West Story Trading Company is looking for a highly professional, organized, and dependable individual to join our team as an:

We are seeking a proactive and detail-oriented professional who can provide effective support to executive management, organize daily administrative activities, and ensure that assigned tasks are followed through to completion.

Key Responsibilities
  • Manage and organize the executive management’s calendar, meetings, and appointments.
  • Follow up on assigned tasks with departments and employees to ensure timely completion.
  • Prepare professional correspondence, letters, reports, presentations, and meeting minutes.
  • Coordinate meetings and follow up on decisions, action items, and recommendations.
  • Organize administrative documents, files, contracts, and confidential information.
  • Coordinate with internal departments and external parties when required.
  • Prepare periodic summaries of ongoing, completed, and delayed tasks.
  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Provide general administrative and executive support as required.
Qualifications and Requirements
  • Bachelor’s degree in Business Administration, Executive Secretarial Studies, or a related field.
  • Previous experience as an Executive Assistant, Administrative Assistant, or in a similar role.
  • Strong proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
  • Excellent organizational, time-management, and prioritization skills.
  • Strong written and verbal communication skills.
  • Good command of English, both written and spoken.
  • High attention to detail and the ability to work effectively under pressure.
  • A proactive and responsible personality with strong follow-up skills.
  • Ability to maintain confidentiality and professional conduct at all times.
