The Specialist
- Contract Administration will support the commercial and project teams by maintaining organized contract records, preparing correspondence, tracking contractual obligations, and assisting with variation and change order documentation. The role helps ensure contract procedures, approvals, notices, submissions, and reporting activities are properly managed in line with project and client requirements. This position contributes to better commercial control, improved document traceability, timely stakeholder communication, and stronger contract compliance across a complex airfield and airport infrastructure environment.
- Support the administration of contracts in accordance with contract terms, conditions, project procedures, and client requirements.
- Assist in preparing contract correspondence, notices, letters, memoranda, and contractual records for review and issue.
- Track variations, change orders, contract deliverables, key milestones, obligations, approvals, and pending contractual actions.
- Maintain contract documentation, registers, logs, trackers, correspondence records, approval files, and submission records.
- Assist in preparing basic contractual reports, status updates, summaries, dashboards, and commercial coordination inputs.
- Support coordination with commercial, procurement, planning, project controls, construction, and project management teams on contractual matters.
- Help ensure compliance with contract procedures, delegation requirements, approval workflows, documentation standards, and project controls.
- Coordinate with contractors, consultants, vendors, and internal stakeholders on contract-related communication and follow-up actions.
- Participate in contract reviews, commercial coordination meetings, document reviews, and project discussion sessions when required.
- Maintain accurate records of contractual correspondence, meeting outputs, approvals, submissions, responses, and action closures.
- Support document control activities related to contracts, commercial records, variation files, and project correspondence.
- Assist in tracking contract milestones, deliverable dates, notice periods, reporting requirements, and contractual obligations.
- Help organize contract files so that information can be retrieved easily for audits, reporting, claims support, and project closeout.
- Identify missing documentation, delayed responses, incomplete records, or procedural gaps and escalate them to the responsible team members.
- Support change management administration by maintaining records of variation requests, change events, instructions, supporting documents, and status updates.
- Provide administrative and coordination support during contract closeout, final records review, and commercial documentation handover.
- Maintain a disciplined approach to confidentiality, accuracy, record keeping, and contractual communication.
- Bachelor's degree in Construction Management, Quantity Surveying, Law, Business Administration, or a related discipline.
- Minimum 5 years of experience in contract administration, commercial support, document control, or contract coordination on construction or infrastructure projects.
- Basic understanding of construction contracts, contract administration procedures, commercial documentation, approvals, notices, and change tracking.
- Experience working with contract registers, document logs, correspondence trackers, reporting tools, and project documentation systems.
- Exposure to FIDIC or similar standard forms of contract is preferred.
- Experience on airport, airfield, transport, infrastructure, or large development projects is an advantage.
- Familiarity with document control systems, commercial reporting processes, contract filing structures, and project record management.
- Strong documentation, organization, communication, coordination, and follow-up skills.
