We are looking for a Document Controller Trainee to support the Product Department in maintaining accurate, organized, and controlled documentation. The opportunity offers 3–6 months of on-the-job training with a monthly stipend, with a potential employment opportunity upon successful completion.
Key Responsibilities:- Establish and maintain structured electronic and physical filing systems for Product Department documents and records.
- Organize, classify, archive, and retrieve documents efficiently in accordance with approved documentation standards.
- Review incoming and outgoing documents to ensure completeness, accuracy, and compliance with approved requirements before processing.
- Maintain effective document control by tracking document status, revisions, versions, updates, and related records.
- Ensure that the latest approved versions of documents are properly maintained and available to authorized users.
- Maintain and update document registers, tracking logs, and daily records using Excel and other approved MS Office applications.
- Manage and maintain document access records to ensure the confidentiality and security of product and operational information.
- Monitor the circulation, receipt, submission, and retrieval of documents and follow up on outstanding documentation when required.
- Coordinate with relevant team members to ensure required documents, records, and updates are received and properly maintained.
- Support the preparation of periodic document status reports and provide required records to the direct supervisor.
- Maintain accurate documentation in both Arabic and English as required by business operations.
- Ensure proper handling, storage, and protection of confidential and sensitive documents.
- Ensure compliance with internal policies, document control procedures, confidentiality requirements, and approved standards.
- Diploma or bachelor’s degree in business administration, Information Management, Office Administration, or a related field.
- Fresh graduates are encouraged to apply.
- Good knowledge of Microsoft Office, particularly Microsoft Excel.
- Willingness to learn and develop practical skills in document control and administrative operations.
