As a Procurement Executive at the hotel your role involves supporting the procurement manager in sourcing suppliers, managing purchasing activities, and coordinating procurement processes to ensure timely and cost‑effective acquisition of goods and services. You will assist in vendor negotiations, contract management, and inventory control to facilitate efficient procurement operations.
Main Duties and Responsibilities- Assist in identifying potential suppliers, obtaining quotes, and evaluating vendor proposals to support sourcing decisions.
- Coordinate with vendors for price inquiries, product specifications, and delivery schedules to ensure timely procurement of goods and services.
- Generate purchase orders, review order details, and coordinate order placement with vendors to facilitate order fulfillment.
- Verify order accuracy, pricing, and delivery terms to ensure alignment with procurement requirements and budget constraints.
- Assist in contract negotiations, review contract terms, and ensure compliance with procurement policies and legal requirements.
- Maintain contract documentation, track contract renewals, and support contract amendments as needed to protect the hotel’s interests.
- Support inventory management activities, monitor stock levels, and track inventory movements to prevent stockouts and excess inventory.
- Collaborate with operational teams to forecast demand, coordinate inventory replenishment, and optimize inventory turnover for efficient operations.
- Build and maintain relationships with suppliers, communicate procurement requirements, and address vendor inquiries and issues.
- Assist in supplier performance evaluations, supplier audits, and resolution of supplier‑related issues to ensure service quality and compliance.
- Support the procurement manager in developing procurement strategies, policies, and procedures to streamline procurement operations.
- Assist in analyzing procurement data, preparing reports, and identifying opportunities for process improvements and cost savings in procurement activities.
- Ensure compliance with procurement guidelines, company policies, and regulatory requirements in procurement transactions and vendor engagements.
- Maintain procurement records, documentation, and filing systems to facilitate audits, reporting, and procurement process transparency.
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field; certification in procurement or supply chain is a plus.
- Previous experience in procurement, purchasing, or vendor management roles, preferably in the hospitality or related industry.
- Proficiency in procurement software, MS Excel, and ERP systems for data management and analysis.
- Strong attention to detail, organizational skills, and ability to multitask in a fast‑paced procurement environment.
- Good communication skills, negotiation abilities, and interpersonal skills for effective vendor interactions and team collaborations.
- Knowledge of procurement processes, sourcing practices, contract management, and inventory control principles.
