About this role
The Contract Specialist provides internal support & guidance to a region of Commercial Account Executives (AEs), ensuring orders are in compliance with company policies and working with colleagues across APAC & EMEA in Sales, Deal Hub, Consulting, Events, Legal and Order management.
Responsibilities- Process incoming requests from departments (Sales, CFS, Controller, Deal Hub, Corporate Pricing, Contracts Negotiators, Corporate Legal, Consulting, Events, Client Compliance, etc.).
- Manage the team Outlook inbox and prioritize emails by urgency and importance once approvals are received.
- Using Salesforce, review and activate incoming order submissions for completeness, accuracy, and conformance to Gartner standard contract guidelines.
- Assist Sales via Salesforce case requests to ensure accurate client data is used when creating contracts.
- Hold signing authority for order agreements and ensure 100% compliance with the legal empowerment matrix.
- Ensure compliance with Gartner corporate policy regarding document administration, including the approval of non‑standard items such as legal term changes, non‑standard SDs, pricing and billing terms.
- Execute special ad‑hoc projects to fulfill business requirements.
- Collaborate with the manager and global team to seek continuous improvement and innovation to department processes.
- Prepare instructive communications to and liaise with the global Contracts Department, Client Financial Services, and Sales teams.
- Support the Contract Manager in providing first‑line support to Sales on all issues relating to sales contracts and request escalation to senior staff as required.
- 2–4 years of experience dealing with contract matters, client legal & procurement departments, or customer order management or sales support.
- Strong verbal and written negotiation skills.
- Salesforce experience is a plus.
- Ability to excel in a fast‑growing, fast‑paced environment delivering accuracy while meeting deadlines.
- Excellent communication skills developed in a sales‑driven environment, with strong English (written and verbal).
- Client‑facing experience with commercial awareness.
- Strong attention to detail.
- Proficiency in the Microsoft suite of tools.
- Strong understanding of contracts.
- Strong problem‑solving skills.
- Willingness to assume responsibility and adapt, displaying a sense of urgency to the business.
- Ability to work within a remote team (multinational experience preferred).
