About the Job:

New Metrics delivers recurring consumer and citizen focus-groups and workshops across the Kingdom as part of its CX, research and measurement engagements. These sessions gather first-hand feedback that feeds directly into client leadership decisions.

This role exists to give each engagement a single, dedicated, on-the-ground owner of those workshops — someone whose job is to run them end-to-end to a consistent standard.

The role carries a second mandate
: coordination and administrative support for the New Metrics KSA office, keeping the Riyadh operation running smoothly between sessions.

The coordinator owns the running of the sessions and the standardized session record; analytical interpretation, cross-session synthesis.

Your Main Duties Will Include:

A. Workshop & focus-group operations (primary)
Pre-session — planning & readiness
  • Own the rolling workshop calendar against each engagement's agreed regional distribution; keep it current and flag scheduling risks early.
  • Act as the single liaison to the attendance vendor: hand over the client-provided participant list, oversee outreach and attendance confirmation, and chase shortfalls so each session hits its target numbers.
  • Book and prepare venues across the relevant regions; confirm room setup, seating, connectivity, refreshments, signage and accessibility.
  • Coordinate session logistics: travel, equipment, printed and interactive materials, ice-breaker tools, evaluation/feedback forms and participation certificates.
  • Prepare and check all on-site technology ahead of time, including recording devices and any AI-assisted transcription/summarization tools.
  • Be the dedicated New Metrics presence at every workshop; serve as the consistent on-the-ground face for the client and participants.
  • Run participant check-in, distribute and collect feedback/evaluation forms, and issue participation certificates.
  • Place and operate recording devices on tables; confirm clean capture throughout the session.
  • Support the moderator: manage the room, pass the microphone, keep to the agenda and timings, and take structured notes.
  • Manage on-site issues (late participants, technical glitches, room problems) calmly and resolve them in real time.
Post-session — recording & reporting
  • Produce the executive summary for submission to client leadership on the day of each session.
  • Produce the standardized detailed session report by in the same day, covering attendance, logistics, captured participant feedback, and an AI-assisted summary of the discussion (using the approved transcription/summarization tools applied to the Plaud capture).
  • Maintain the session archive (recordings, notes, materials, feedback, reports) in an organized, retrievable structure.
B. KSA office coordination & administration (secondary)
  • Provide day-to-day coordination and administrative support to the New Metrics KSA office between workshop commitments.
  • Coordinate logistics for other in-Kingdom engagement activity (e.g. field-work coordination, trainings, stakeholder meetings) as needed.
  • Support local document handling, filing and basic record-keeping for the KSA office.
  • Help onboard and coordinate field staff and vendors operating within the Kingdom.
  • Act as a local point of contact for KSA-based operational and administrative matters.
