Position: AMI Coordinator (Contractor - Saudi Nationals)

The AMI Operations & Medical Education Coordinator is responsible for supporting , coordination, and execution of medical education programs, scientific events, , operational activities. The role manages end-to-end event logistics, travel arrangements, vendor coordination, contracts, compliance processes, budgeting, and administrative support while ensuring projects are delivered efficiently, compliantly, and on schedule.

Key Responsibilities:

  • Coordinate medical education events, workshops, congresses, from planning through execution.
  • Manage travel logistics, including flights, hotels, visas, transfers, and itineraries for faculty, healthcare professionals (HCPs), and internal teams.
  • Coordinate faculty invitations, registrations, contracts, and communication.
  • Manage vendors, quotations, purchase orders, invoices, and event deliverables.
  • Support compliance, legal, finance, procurement, and medical approval processes.
  • Maintain project plans, trackers, budgets, reports, and event documentation.
  • Manage content coordination, presentation materials, and event logistics.
  • Support financial tracking, reporting, and post-event reconciliation.
  • Ensure accurate documentation and effective use of company systems (Salesforce, Veeva Vault, , PRISM, and related platforms).

Qualifications:

  • Bachelor's degree in Business Administration, Healthcare Administration, Marketing, Event Management, or a related field.
  • Minimum 5 years of experience in operations, project coordination, medical education, or event management.
  • Experience managing local and international events, travel logistics, vendor management, and procurement.
  • Advanced Microsoft Excel and PowerPoint skills.
  • Experience in a multinational healthcare or pharmaceutical organization is preferred.
