Reports to:

Director of Quality Management Department.

Job Summary

Responsible for the coordination of the documentation process.

Duties and Responsibilities
  • Plan, develop and design policies and procedures as per Canadian standards in consultation with concerned teams/departments.
  • Review hospital‑wide or departmental policies.
  • Avoid duplication or contradiction between policies.
  • Track the authorization and approval of policies, manuals and forms.
  • Identify needs for developing new policies.
  • Provide support and act as a resource person to the facilities within the hospital for documentation issues.
  • Report compliance status of the documentation within the facility.
  • Assist in design control and amendment of all documentation in the hospital.
  • Ensure that agreements of concurrence between departments are in place.
  • Ensure that all policies, forms and manuals are standardized across university hospitals.
  • Act as a resource unit for policies as demanded by different areas.
  • Monitor timely update/review of the Job Description s and credentials.
  • Review forms as hospital‑wide or departmental.
  • Review medical files as open and closed.
  • Develop quality guideline/check list for documentation review.
  • Maintain confidentiality at all times.
  • Perform any other duties as assigned by the Quality Management Director.
Education / Licensure
  • Bachelor Degree in Medicine / Nursing / Pharmacy.
  • Certificate in Health Care Quality Management.
Professional Experience
  • Minimum 2 years recent experience in a Quality Department as Quality Coordinator / Facilitator.
  • At least 1 year experience in Documentation Management.
Specialized Knowledge and Skills
  • Current knowledge of accreditation standards – Canadian.
  • Excellent verbal and written skills in English.
  • Computer skills:
    Microsoft Office.
  • Presentation skills – preferred.
