Job Scope
As a Rooms Coordinator you will play a key role in supporting the rooms division department by coordinating activities related to reservations, room assignments, guest services and housekeeping. Your responsibilities include managing room inventory, assisting guests with inquiries and requests and ensuring the smooth operation of room‑related services to enhance guest experiences and optimize room revenue.
Main Duties and Responsibilities- Reservations Management
:
Handle room reservations, cancellations and modifications ensuring accuracy, availability and adherence to reservation policies. Coordinate with the reservations team, monitor booking trends and adjust room inventory to maximize occupancy levels and revenue. - Room Assignments and Inventory Control
:
Manage room allocations, assignments and guest requests to optimize utilization and enhance satisfaction. Maintain accurate inventory records, update statuses and coordinate with housekeeping for readiness and turnaround. - Guest Services Support
:
Assist guests with inquiries, requests and special preferences providing personalized service. Address concerns, resolve issues and, if necessary, escalating matters to maintain high satisfaction. - Housekeeping Coordination
:
Collaborate with the housekeeping team to prioritize cleaning schedules, manage room statuses and ensure timely turnaround. Communicate guest requests and room status updates for efficient preparation. - Operational Support
:
Support the Rooms Manager or Director of Rooms in daily operations, administrative tasks and coordination with other departments. Assist in maintaining service standards, quality control and compliance with brand guidelines and procedures. - Revenue Optimization Assistance
:
Work with the revenue management team to monitor rates, occupancy and performance; provide insights and support optimization strategies. Help implement upselling initiatives, promotional offers and distribution channel management to maximize revenue. - Guest Communication and Feedback
:
Communicate proactively with guests before, during and after their stay to confirm reservations, address preferences and gather feedback. Collect reviews and suggestions to implement service improvements. - Implement technology and equipment improvements where appropriate and promote sustainable practices such as reducing waste, saving energy and using resources efficiently.
- Strong organizational, communication and time‑management skills.
- Attention to detail to accurately record and fulfill guest requests.
- Problem‑solving abilities for handling issues with room assignments or accommodations.
- Proficiency in hotel management systems and ability to multitask efficiently.
- Strong interpersonal skills to collaborate with front desk and housekeeping teams.
- Bachelor’s degree in Hospitality Management, Business Administration or a related field.
- Relevant experience or certifications are a plus.
- Previous experience in hotel operations, reservations, guest services or a similar role.
- Strong organizational skills, attention to detail and ability to multitask in a fast‑paced environment.
- Excellent communication skills, able to interact professionally with guests, staff and vendors.
- Proficiency in hotel management systems, reservation software and Microsoft Office applications.
- Customer‑centric mindset focused on delivering exceptional guest experiences and anticipating guest needs.
- Analytical skills to monitor data, track performance metrics and contribute to revenue optimization efforts.
- Ability to work collaboratively with cross‑functional teams, adapt to changing priorities and contribute to overall success of the rooms division department.
