Leading and directing the Administrative Affairs and Shared Services Department to ensure the efficiency of administrative and service operations within the company, by supervising the affiliated organizational units, and ensuring the quality of outputs, effectiveness of operations, and integration of administrative support with the needs of various departments.
Scope of Responsibility & Key Tasks (Operational Management)- Overall supervision of workflow in the departments affiliated with the administration, and ensuring their integration with company objectives.
- Following up on the performance of heads of departments and providing necessary administrative and technical guidance to them.
- Evaluating the quality of administrative services provided internally and developing procedures to achieve efficiency and effectiveness.
- Continuous coordination with the Human Resources Department and the rest of the departments to ensure their needs for administrative and supporting services are met.
- Participating in setting policies and plans related to administrative affairs and shared services and supervising their implementation.
- Supervising vehicle lease contracts and their operation plans, and following up on supplier performance.
- Following up on the overall performance of the government relations and clearance team, and ensuring the efficient and compliant execution of official transactions for stakeholders.
- Representing the company in communication with government entities when needed, or officially delegating that.
- Overall supervision of surveillance and administrative security systems within company facilities, and ensuring their readiness and integration with the Security and Safety Department.
- Following up on the key performance indicators (KPIs) for the department and analyzing periodic reports to improve services and develop operational efficiency.
- Conducting a periodic evaluation of service providers and recommending renewal or replacement according to clear standards.
- Directing administrative and shared services operations to serve the interest of employees and company requirements.
- Submitting periodic and analytical reports to the Human Resources Management Director regarding department performance, challenges, and improvement opportunities.
- Continuous coordination with other departments to meet their administrative and logistical needs.
- Supervising the implementation of the department's policies, procedures, and controls that cover all activity aspects; to meet related procedural/legislative requirements, while working on high quality outputs.
- Leading and directing change management through continuous improvement of the administration’s systems, operations, and practices, taking into account leading practices, changes in international standards and business environments that require proactive business plans.
- Monitoring daily activities; to ensure compliance with stipulated policies and procedures.
- Ensuring that the administration’s operations and services are supported by the required documents to ensure meeting work requirements.
- Supervising the setting and implementation of service level agreements with other Al Majed for Oud departments.
- Contributing to instilling the organization’s culture and performance development.
- Directing, monitoring, and developing the administrative affairs management team; and enabling them to assume larger and more complex responsibilities.
- Effective communication with all employees.
- Scouting, evaluating, and hiring outstanding talents in the Administrative Affairs Department.
- Setting goals for performance evaluation and providing the necessary support and regular reports on performance.
- Creating a high-performance work environment and reinforcing Al Majed for Oud values.
