The Project Manager is responsible for planning, managing, and delivering events, exhibitions, activations, conferences, and experiential projects from initiation to completion. The role ensures projects are delivered on time, within budget, and according to client expectations while coordinating internal teams, suppliers, contractors, and stakeholders throughout the project lifecycle.
Key Responsibilities Project Planning & Management- Lead multiple event and exhibition projects simultaneously from concept development to final delivery.
- Develop project plans, timelines, budgets, and resource allocation schedules.
- Define project scope, deliverables, milestones, and success criteria.
- Monitor project progress and ensure deadlines are met.
- Act as the primary point of contact for clients throughout the project lifecycle.
- Manage client expectations and ensure all requirements are clearly understood and delivered.
- Conduct project meetings, presentations, and progress updates.
- Build and maintain strong client relationships.
- Coordinate with Creative, Design, Production, Technical, Procurement, and Operations teams.
- Ensure seamless communication between internal departments and external stakeholders.
- Assign responsibilities and monitor team performance against project objectives.
- Prepare and manage project budgets and cost forecasts.
- Track project expenditures and ensure profitability targets are achieved.
- Coordinate procurement activities and supplier negotiations.
- Review quotations, purchase orders, and subcontractor agreements.
- Oversee event setup, installation, live operations, and dismantling activities.
- Ensure all project components are delivered according to approved plans.
- Manage on-site teams, vendors, and contractors.
- Resolve operational and technical issues during project execution.
- Identify project risks and develop mitigation plans.
- Ensure compliance with health, safety, venue, and regulatory requirements.
- Conduct quality control reviews throughout the project lifecycle.
- Lead post-event evaluations and lessons-learned sessions.
- Bachelor's Degree in Business Administration, Project Management, Engineering, Architecture, Marketing, or a related field.
- 5–8+ years of experience in event management, exhibitions, experiential marketing, or project management.
- Proven experience managing large-scale events, conferences, activations, exhibitions, or entertainment projects.
- Strong understanding of event production and operational processes.
